We will ensure the closing process is handled properly and in a professional manner.Summary/Objective: We are seeking a friendly, organized and detail-oriented Office Administrator to join our Owasso office. As the first point of contact for clients, visitors, real estate agents, lenders and attorneys, you will play a vital role in ensuring smooth office operations and excellent customer service.Essential Functions: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.)<ul><li>Greet and assist clients, visitors, and vendors in a professional and welcoming manner.</li><li>Answer and route incoming phone calls; take accurate messages as needed.</li><li>Manage front desk operations, including handling mail, packages and courier services.</li><li>Prepare closing rooms with necessary supplies and keep organized and clean.</li><li>Monitor office supplies and place orders as needed.</li><li>Assist in performing post closing activities such as scans, filing, and mailing out documents.</li><li>Support overall office efficiency by assisting with special projects or administrative duties.</li><li>Understands, follows, and stays current on all policies and procedures in the Employee Handbook.</li><li>Follows instructions and responds to management direction.</li><li>Performs all essential functions by being physically present at the worksite on a full-time basis.</li><li>Interact with clients, realtors, and other industry professionals in a manner that reflects professionalism and exhibits company core values.</li></ul>Competencies:<ul><li>Highly organized with strong attention to detail.</li><li>Ability to multi-task in fast paced environment.</li><li>Ability to comprehend and write instructions, correspondence and memos with proper punctuation, spelling, and grammar.</li><li>Excellent verbal and interpersonal skills over the phone and in face-to-face interactions.</li><li>Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees.</li><li>Ability to deliver excellent customer service to internal and external customers.</li><li>Ability to consistently meet deadlines, demonstrate strong follow-through and to follow all regulatory and company procedures.</li><li>Ability to perform basic mathematical calculations.</li><li>Ability to effectively utilize title processing and basic computer software.</li></ul>Salary and Benefits:<ul><li>Salary commensurate with experience</li><li>Dental insurance</li><li>Health insurance</li><li>Vision insurance</li><li>Life insurance</li><li>Paid time off</li></ul>Preferred Education and Experience:<ul><li>High School diploma or GED (Required)</li><li>Customer Service: 1 year (Preferred)</li><li>Knowledge of title and escrow procedures, regulatory guidelines, legal documents, and real property law a plus.</li><li>Knowledge and experience using Microsoft Office</li></ul>Job Type: Full-timePay: From $35,000.00 per yearBenefits:<ul><li>Dental insurance</li><li>Health insurance</li><li>Life insurance</li><li>Paid time off</li><li>Vision insurance</li></ul>Work Location: In person
