Job Description

Job Summary: We are seeking a highly organized and detail-oriented Document Controller to manage and maintain the project documentation for our interior fitout projects. The successful candidate will be responsible for ensuring that all project documentation is up to date, properly stored, and easily accessible. The role requires someone with a strong understanding of the interior fitout industry, project documentation processes, and the ability to work efficiently within a fast-paced environment.

Key Responsibilities:

  • Document Management: Ensure proper handling, tracking, and storage of all project-related documents, including drawings, specifications, contracts, and project reports, following company standards and protocols.
  • Project Coordination: Work closely with project managers, architects, designers, contractors, and other team members to ensure all documents are received, processed, and disseminated as required.
  • Version Control: Maintain version control for drawings and documents to ensure that the latest versions are always accessible to the relevant team members.
  • Document Distribution: Distribute and manage the flow of project documentation to all relevant stakeholders and clients as required, ensuring timely access to information.
  • Filing & Archiving: Set up and maintain both physical and digital filing systems for easy access and retrieval of documents. Ensure that all documents are archived correctly according to company guidelines.
  • Quality Assurance: Review documents for accuracy, completeness, and compliance with project specifications, industry standards, and internal protocols.
  • Compliance: Ensure that all documentation complies with legal, regulatory, and contractual requirements in the context of interior fitout projects.
  • Reporting: Provide regular status updates on document management processes and highlight any issues or discrepancies that may arise.

Required Qualifications:

  • Experience: Minimum of 2 years of experience as a Document Controller in construction or interior fitout projects.
  • Industry Knowledge: Strong understanding of the interior fitout industry and its specific documentation requirements, such as architectural drawings, material specifications, and change orders.
  • Technical Skills: Proficiency in document management software (e.g., Procore, Aconex, SharePoint) and MS Office Suite (Word, Excel, PowerPoint).
  • Organizational Skills: Strong organizational skills with attention to detail and the ability to manage multiple tasks and priorities.
  • Communication Skills: Excellent written and verbal communication skills to interact with team members, contractors, and clients effectively.
  • Educational Qualifications: A degree or diploma in construction management, architecture, or a related field is preferred, but not required.
  • Certification: Document control certification or similar qualification is a plus.

Preferred Qualifications:

  • Experience in managing documents for high-end residential, commercial, or hospitality interior fitout projects.
  • Familiarity with BIM (Building Information Modeling) and its integration into project documentation processes.
  • Ability to work under pressure and meet deadlines.
