The Operational Admin supports the Corporate Services team by handling administrative, coordination, and documentation tasks related to company licensing, visa processing, compliance, and general operations. The role ensures smooth execution of daily Corporate Services activities by maintaining accurate records, coordinating with internal teams, and assisting PROs with operational requirements.

Key Responsibilities

1. Administrative Support

Maintain organized filing systems (physical and digital) for corporate documents, licences, visas, and employee records.

Prepare letters, forms, reports, and supporting documents required for corporate processes.

Track deadlines for licence renewals, visa expiries, insurance renewals, and compliance obligations.

Handle data entry, documentation updates, and system record maintenance.

2. Coordination & Communication

Coordinate with PROs to ensure timely submission of government applications (Immigration, Labour, Free Zone/DED, etc.).

Communicate with internal departments to collect required documents or information.

Liaise with external agencies, government portals, and service providers when necessary.

Provide status updates and reminders to management and team members.

3. Corporate Services Support

Assist in preparing application packages for visa processing, labour contracts, establishment card updates, and licence amendments.

Assist with drafting and reviewing standard corporate templates such as NOCs, authorization letters, or request letters.

Help manage company registrations, renewals, attestations, and related activities.

4. Operational Tracking & Reporting

Maintain logs of ongoing and completed corporate services tasks.

Prepare weekly activity updates and operational reports for the management team.

Monitor KPI metrics such as processing times, pending applications, and deadlines.

5. Compliance & Quality Assurance

Ensure that all documents submitted meet UAE regulatory and formatting standards.

Conduct initial reviews to ensure accuracy before passing documents to PROs or authorities.

Support compliance activities by maintaining updated checklists and guidelines.

6. General Office & Support Tasks

Schedule appointments, meetings, and government center visits for the team.

Handle courier requests, document collection, and dispatch tracking.

Support onboarding of new employees by preparing welcome packs and coordinating document collection

Job Type: Full-time

Pay: AED3,000.00 - AED4,000.00 per month
