WHO YOU ARE

The Legal Receptionist/Administrative Assistant is the first face clients and associates see when they enter the firm. With a passion for customer services, this role will provide support of the main phone lines, scheduling appointments, mailing, faxing, and ensuring the office is fully equipped for successful use by clients and employees. Under the direction of the Director of Business and Legal Operations, the Legal Administrative Assistant may also back up the legal support team with client follow-up, basic document drafting, and or note taking. This role is ideal for someone who has a customer service background and is interested in growing their career in the legal field.

WHAT YOU’LL DO

  • Be the first point of contact for clients and guests arriving at the office
  • Coordinate supplies, mail, and office
  • Answering, screening, and forwarding phone calls in a professional manner
  • Monitor and respond to inquiries through the online support function (chat, email, and video meetings).
  • Assist paralegal team with client support needs such as preparing final documents, client follow-up communications, scheduling meetings. etc.
  • Complete other tasks as assigned by management.

Skills and Requirements

  • Must be willing to work onsite in Louisville AT LEAST 4 days per week
  • 2+years of customer service, office manager, customer success, or client coordination experience preferred
  • 2+ years of experience in the legal field preferred, but not required
  • Proficiency in Microsoft Word, Excel, Outlook, and Zoom/Teams
  • High level of organization, time management, and attention to detail
  • Must be able to commit to a full-time working schedule; reliability is crucial in this role
  • Excellent verbal and written communication skills
  • Commitment to customer service and confidentiality
  • Basic proficiency in learning and navigating new technology systems
