We are seeking a highly organized Administrative Assistant to join our growing team and support daily operations across multiple departments.
Position Summary
The Administrative Assistant will provide comprehensive administrative and clerical support to ensure efficient day-to-day operations of the office. The ideal candidate is detail-oriented, proactive, and capable of managing multiple priorities in a fast-paced professional environment.
Key Responsibilities
- Provide administrative support to lawyers, clerks, and management staff.
- Handle incoming calls, emails, and correspondence, ensuring timely and professional communication.
- Maintain and organize client files in compliance with firm policies.
- Schedule client meetings and appointments; manage the firm’s calendar.
- Assist with document preparation and reports.
- Provide excellent customer service to clients.
- Update and maintain data in CRM and case management systems (e.g., Zoho, Clio, or equivalent).
- Perform data entry tasks and maintain accurate records
- Contribute to process improvement and internal efficiency initiatives.
Qualifications
- Bachelor’s Degree
- 1–3 years of administrative experience (law office experience is an asset).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with CRM or practice management systems (Zoho, Clio, or similar) is an asset.
- Ability to multitask, prioritize, and work independently under minimal supervision.
- High degree of professionalism, discretion, and confidentiality.
