As an Admin Assistant you will be responsible for managing and coordinating day-to-day administrative operations to ensure a well-organized and efficient workplace. You will handle office management tasks, document control, and correspondence, while supporting procurement, logistics, and communication between departments. By coordinating closely with the Design & Construction and site teams, you will ensure smooth information flow, timely reporting, and adherence to company standards. Through your proactive approach and attention to detail, you will contribute to maintaining operational excellence and supporting the successful execution of company projects and initiatives.


Job Responsibilities


Core Administration & Office Management:

  • Manage daily office operations to ensure a clean, organized, and efficient working environment.
  • Handle all filing systems (both digital and physical), ensuring documents are accurately stored and easily retrievable.
  • Prepare and manage correspondence, reports, and documents.
  • Coordinate meetings, including scheduling, agenda preparation, and minute-taking.
  • Manage office supplies inventory and place orders as necessary.

Site Supply Coordination & Supplier Handling:

  • Act as a liaison between the branch office and construction sites for administrative and supply needs.
  • Coordinate with suppliers and vendors for site-related materials, office supplies, and services.
  • Process purchase requests, obtain quotations, and raise Purchase Orders (POs) as directed.
  • Maintain positive relationships with suppliers and track delivery statuses.

Travel & Logistics:

  • Arrange travel, accommodation, and transportation for staff and visitors as required.
  • Process travel expenses and reimbursements in line with company policy.

Marketing Coordination Support:

  • Provide administrative support to marketing initiatives, such as preparing promotional materials or coordinating event logistics.
  • Maintain and update marketing collateral and digital files.

Head Office (HO) & Design & Construction (DC) Liaison:

  • Fulfill all reporting and administrative duties as required by the Head Office (HO).
  • Support the Design & Construction (DC) team with document control, transmittals, and coordination tasks.
  • Ensure branch activities are in sync with HO directives and standards.

General Team Support:

  • Provide comprehensive administrative support to the branch team, including managers and engineers.
  • Answer and direct phone calls in a professional manner.
  • Greet visitors and clients, creating a positive first impression of the company.
  • Assist in organizing company events and team activities.



Job Requirements:


  • Bachelor’s degree in business administration, Management, or a related field is required.
  • 5-10 years of proven experience as an Administrative Assistant or similar role.
  • Experience in UAE corporate market is required
  • Experience in construction or related industry is a significant advantage.
