Position Summary

The Administrative & Purchasing Assistant provides office-wide support and assists with purchasing needs across departments. This role requires excellent communication, strong organizational skills, and the ability to manage multiple administrative and procurement tasks simultaneously.

Key Responsibilities

Administrative Support

- Answer and direct incoming phone calls with professionalism and warmth.

- Maintain organized filing systems (digital and physical).

- Perform general clerical duties, including scanning, copying, scheduling, and document preparation and review.

- Provide support to all staff members as needs arise.

- Assist with front desk/reception coverage when required.

- Maintain office supplies and coordinate restocking.

Purchasing & Material Coordination

- Assist with ordering materials, tools, supplies, and equipment.

- Track and compare multiple Requests for Quotes (RFQs).

- Coordinate delivery schedules and interact with delivery drivers.

- Receive, inspect, log, and distribute materials upon arrival.

- Maintain accurate inventory records.

- Work with vendors to resolve order discrepancies or issues.

Required Qualifications

- High school diploma or equivalent.

- Prior experience ordering materials or supporting procurement workflows.

- Ability to track and compare multiple RFQs with accuracy and attention to detail.

- Proficiency with the full Microsoft Office Suite.

- Experience with SAGE accounting or purchasing systems (or willingness to learn).

- Strong organizational and multitasking skills.

- Warm, professional communication and a team-oriented attitude.

Preferred Qualifications

- College degree or extensive industry experience.

- Experience in construction, electrical contracting, or a related technical environment.

- Experience interacting with vendors, suppliers, and delivery personnel.

Work Environment

- Administrative setting supporting students, instructors, and leadership.

- Frequent interaction with apprentices, visitors, vendors, and delivery drivers.

Job Type: Full-time

Pay: $23.80 - $30.00 per hour
