Position Details
The University of Tampa’s Office of Human Resources is seeking a detail-oriented and proactive Administrative Assistant/Human Resources Specialist. This role reports to the Director of Human Resources and provides comprehensive administrative support to the HR department, ensuring smooth operations, accurate recordkeeping, and responsive service to faculty, staff, and students. The position serves as a key point of contact for HR inquiries, supports onboarding processes, and coordinates departmental projects and events.
Key Responsibilities
Reception & Office Support
Provide front-line reception services and maintain consistent office coverage during business hours.
Answer phones, respond to inquiries, and direct individuals to appropriate resources.
Records & Data Management
Review and process HR forms and personnel actions with attention to policy compliance.
Maintain accurate personnel records and update the HRIS database.
Generate employee reports (e.g., birthdays, hire dates, directories).
Employee Services & Onboarding
Assist with onboarding new employees, including E-Verify, network access, orientation, and name tags.
Prepare correspondence and personnel action notices.
Verify employment and transcripts as needed.
Administrative Coordination
Organize and maintain paper and electronic filing systems.
Initiate recurring administrative processes and support departmental projects.
Maintain department website and internal databases.
o Manage Tuition Exchange Exports and Faculty/Staff Tuition Grant processes.
Qualifications
Associate’s degree or equivalent experience in Human Resources (two years of relevant experience may substitute for degree).
Minimum of five years of administrative support experience; HR experience preferred.
Strong written, verbal, interpersonal, and organizational skills.
Proven ability to maintain confidentiality and handle sensitive information.
Proficiency with office technology and troubleshooting.
Ability to prioritize tasks and manage time effectively.
Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday and Microsoft Office.
Willingness to embrace new technologies and innovative organizational practices.

Work Schedule
Academic Year: Monday–Friday, 8:30 a.m. – 5:00 p.m.
Summer Schedule: Monday–Thursday, 8:00 a.m. – 5:30 p.m.
Occasional evenings and weekends may be required.
