As we grow, we’re looking for an organized, proactive, and creative Office Manager & Administrative Assistant to run day-to-day office operations while supporting marketing, permitting, scheduling, and team coordination.

This role is the heartbeat of our office—keeping communication flowing, projects moving, and the brand looking polished.

The Role

We’re seeking an on-site, full-time Office Manager / Admin Assistant who is comfortable handling everything from scheduling and permitting to customer communication and marketing support. You’ll work directly with leadership and play a key role in keeping the business running smoothly.

This is perfect for someone who loves organization, thrives in a fast-paced environment, and enjoys being involved in both administration and creative tasks.

Key Responsibilities

  • Oversee daily office operations and ensure everything runs efficiently.
  • Handle permitting, HOA/ARB submissions, and project documentation.
  • Answer calls, schedule appointments, and coordinate project timelines.
  • Communicate with homeowners, vendors, subcontractors, and inspectors.
  • Maintain office systems, project files, and internal tracking tools.
  • Assist with marketing tasks such as social media content, branding materials, and basic design (training provided if needed).
  • Support leadership with administrative tasks, reports, and project organization.
  • Provide occasional assistance with simple pool designs or renderings (optional based on skill set).

Qualifications

  • Strong organizational skills and attention to detail.
  • Excellent communication—comfortable on the phone and via email.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Tech savvy; comfortable learning new systems.
  • Bonus: experience with Canva, Adobe, social media management, or basic marketing.
  • Bonus: experience in construction, permitting, or scheduling roles.

Job Type: Full-time

Pay: $28,819.00 - $52,000.00 per year
