Job Title: Entry-Level Bookkeeper & Purchasing Assistant Position Overview

We’re seeking a detail-oriented, organized, and proactive individual to join our team as an Entry-Level Bookkeeper & Purchasing Assistant. This dual-role position supports both our accounting and operations teams by maintaining accurate financial records and coordinating purchasing activities. The ideal candidate is dependable, eager to learn, and comfortable working in Excel and spreadsheet-based systems.

Key Responsibilities

Bookkeeping

  • Record daily financial transactions in QuickBooks (or company accounting software).
  • Reconcile bank statements, credit cards, and vendor accounts.
  • Assist with accounts payable and receivable processing.
  • Maintain accurate records of invoices, receipts, and expense reports.
  • Support preparation of month-end and year-end financial reports.

Purchasing & Inventory

  • Create and manage purchase orders based on inventory needs and project requirements.
  • Communicate with suppliers to confirm pricing, lead times, and delivery schedules.
  • Track incoming orders and resolve discrepancies or delays.
  • Maintain spreadsheets to monitor vendor performance, costs, and purchase history.
  • Work closely with department managers to anticipate material needs.

General Administrative

  • Assist with filing, document management, and data entry tasks.
  • Support the finance and operations teams as needed for special projects.

Qualifications

  • 1–2 years of experience in bookkeeping, purchasing, or related administrative work (preferred, not required).
  • Proficiency in Microsoft Excel or Google Sheets (formulas, pivot tables, data organization).
  • Basic understanding of accounting principles.
  • Strong attention to detail and organizational skills.
  • Excellent communication and time management abilities.
  • Ability to work independently and handle multiple priorities.

Education

  • High school diploma required; associate’s or bachelor’s degree in accounting, finance, or business preferred.
