Reporting to a Manager and expected to handle 10~12 team members
Monitor team accuracy and timely input of abstracted tenant lease data and uploaded into various JLL and client database systems
Ensuing property, unit, tenancy, and supplier setup/modifications/terminations & tenant refunds that are processed, and quality checked by the team members are in line with agreed KPIs
Conducts random checks on abstracts, system content, and other data to ensure completeness and accuracy is being adhered to
Guide staff members in the understanding and execution of established policies and procedures including RICS and ISAE requirements
Ensure 100% compliance to RICS & ISAE guidelines evidenced through Risk and Compliance audits. No exceptions allowed
Advise team on lease interpretation issues and train on system usage. Trouble shoots on software usage issues
Collaborate with PAM UK counterparts (Site managers, Surveyors, Suppliers, and other finance functions) and team members on pending issues/ queries
Monitor the mobilisation and de-mobilisation of funds/properties into/from JLL. Ensure the team is adequately staffed to handle the expected volume on daily basis
Ensuring that each transaction follows the mandate and is approved by appropriate approvers, in case system mandates are not in place
Prior experience in handling transitions
Identify knowledge gaps of team members, suppliers and site teams. Deliver trainings wherever necessary
Provide objective feedback to team members every month. Document every conversation
Coach and mentor team members to ensure all round development of individuals
Collaborate effectively with other teams to ensure overall function goals are met; drive harmony across teams
Track, monitor and report KPIs at a system / client level periodically, as directed by Supervisor
Ensure month end reporting and MI preparations are being done in time and accurately
Keep Supervisor fully informed of all potential issues, challenges and KPI misses
Maintain individual and team production logs as directed by the Manager/ Assistant Manager

At least 7 years of lease administration or database management experience is must
Commerce graduate with excellent verbal and written communication skills
Experience of both real estate environment and abstraction related technology tools will be an added advantage
Candidate should be dynamic and open to working/monitoring on multiple systems and processes across Static Data
Ability to multi-task, work effectively under pressure, prioritize, and manage workload to meet client needs
Maintain a high level of accuracy for self and the team
Demonstrate consistency in values, principles, and work ethics, must be able to inspire and lead a team
Ability to conduct difficult conversations and demonstrate transparency and fairness
Willingness to take on new challenges, responsibilities, and assignments
Understanding of and commitment to client services, maintain confidentiality of client data
A desire to work within a diverse, collaborative, and driven professional environment.
Willingness to initiate discussions and collaborate with site staff and accountants to improve Static Data processes
Accuracy, prompt, and an eye for detail
Excellent interpersonal skills and ability to work overtime when required
Performance objectives
Ensure the agreed KPI’s (Productivity, Quality and Turn Around Time) are met
Achieve high employee satisfaction scores
Ensure attrition rates are below industry figures
Monitor exceptions processes and devise plan to reduce exception rate
Minimise risk and provide improvement ideas to Supervisor
Zero RICS / ISAE audit findings during internal and external audits
Ensure management reporting as per the pre agreed timelines
