Assistant Operations Manager

Overview

A leading healthcare agency providing quality care to our community in Pinellas and surrounding counties. We are seeking a dedicated Assistant Operations Manager to manage daily operations, ensure smooth onboarding, and coordinate care services. This role requires exceptional organizational and administrative skills, a strong commitment to patient care, and a high level of confidentiality. The role will require field site visits and hosting marketing events.

Key Responsibilities

Client Coordination:

- Work closely with patients, advocates, and state agencies to understand and address individual care needs and preferences.

- Maintain open communication with clients and families to resolve concerns, and ensure satisfaction with services.

- Monitor and manage service authorizations, ensuring accurate allocation of hours and timely reauthorization.

Scheduling:

- Develop and manage monthly schedules for caregivers based on client care plans to ensure proper coverage and continuity of care.

- Coordinate caregiver assignments with attention to support staff skills, client preferences, and geographic considerations.

- Adjust schedules as needed to accommodate client requests, support staff availability, and changes in care needs.

- Communicate schedule changes promptly to support staff, clients, and relevant stakeholders.

Quality Assurance:

- Ensure high standards of care quality through regular client assessments, staff documentation, and feedback collection.

- Investigate and address incidents or complaints related to care services in a timely and effective manner.

- Conduct periodic audits of caregiver documentation to verify accuracy and compliance with company standards and regulatory requirements.

- Implement corrective actions and additional training to enhance service delivery and client outcomes.

Client Sourcing:

- Build and maintain relationships with referral sources such as healthcare providers, case managers, and community organizations.

- Attend networking events, conferences, and community meetings to promote services and generate client referrals.

- Collaborate with marketing and outreach teams to develop promotional materials and campaigns for potential clients and referral sources.

- Track and report on client acquisition metrics, including conversion rates and the effectiveness of referral sources.

Qualifications

Experience: Minimum of 4 years of experience in a healthcare setting preferred.

Skills: Proficiency with computers, phones, and technology; strong communication skills.

Requirements

- Ability to work independently in an office setting with occasional on-site visits.

Job Types: Full-time, Part-time

Pay: $16.50 - $20.50 per hour
