Salary: $90,000 - 95,000
The Assistant Operations Manager will work closely with the Operations Manager to oversee and optimize daily operations, ensuring efficiency, quality, and compliance with organizational standards. The Assistant Operations Manager will be responsible for supporting various aspects of operations management, including team leadership, process improvement, inventory management, and vendor relations to drive operational excellence.
The opportunity:
Facility Management
- Assist the Operations Manager in overseeing day-to-day department operations, including managing the supervisor, staff, processes, and resources.
- Lead, cover and oversee any department supervisors or Operation Manager during schedule or unscheduled absence (PTO/Vacation/Sick/Personal) and ensure that productivity and efficiency are not affected and run normally.
- Collaborate with the Operations Manager to develop and implement operational strategies, policies, and procedures to optimize efficiency and productivity.
- Support in recruiting, training, and supervising operational staff, ensuring that they are well-equipped to perform their duties effectively.
- Monitor and analyze operational performance metrics, identify areas for improvement, and implement solutions to enhance operational efficiency and quality.
- Assist in the development and management of operational budgets, ensuring cost-effective utilization of resources and adherence to financial targets.
- Coordinate with other departments, such as sales, marketing, and logistics, to ensure seamless integration of operations with overall business objectives.
- Oversee inventory management processes, including monitoring stock levels, conducting regular audits, and implementing inventory control measures to minimize loss and optimize inventory turnover.
- Ensure compliance with company policies, industry regulations, and health and safety standards in all operational activities.
- Address operational issues and customer concerns in a timely and professional manner, striving to achieve high levels of customer satisfaction.
- Foster a positive work environment that encourages teamwork, collaboration, and continuous improvement among operational staff.
Assist in ensuring adherence to all quality standards and safety regulations.
- Work closely with the quality team to ensure quality standards are met and complete training utilising the Quality Management System (QMS).
- Ensure warehouse activities are carried out as per Standard Operating Procedures (SOPs) and warehouse adheres to cGMP regulations.
- Ensure warehouse safety, cleanliness, and working condition standards are met.
- Assist management with the hosting and preparation of audits to meet regulatory needs.
- Ensure adherence to WHS procedures and action WHS reporting, including workplace incident reporting.
- Ensure PPE, is maintained at all times according to procedures.
Assist with managing performance and employee development.
- Hold regular communications with team members to establish goals and action plans.
- Train and mentor warehouse staff towards superior performance and career development.
- Liaise with other departments to ensure delivery schedules and deadlines are met.
Qualifications:
- College or post secondary education preferred.
- 8+ years supervisory experience leading people in a warehouse environment required.
- Knowledge of Occupational Safety and Health Administration (OSHA) regulations an asset.
- Forklift Licence is essential.
- Demonstrated experience working with a WMS system and RF scanning guns.
- Dangerous Goods shipping certification an asset.
- Experience in the pharmaceutical industry and or/cGMP considered an asset.
- Experience dealing with quality management software considered an asset.
- Ability to lift materials (boxes, drums, bags) up to 25kg, whilst following workplace health and safety regulations.
- Intermediate knowledge of Microsoft Office (Word, Outlook, Excel, and PowerPoint) required.
- Excellent communication skills; fluent English (oral and written) and strong listening skills.
