Position Summary

The Assistant – Procurement will support the procurement department in sourcing, negotiating and purchasing raw materials, packaging materials and other supplies required for the production of homeopathic medicines. The role ensures timely availability of quality materials at optimal cost in compliance with company policies and regulatory standards.

Key Responsibilities

Procurement Operations

  • Assist in the preparation and processing of purchase orders and requisitions.
  • Collect and compare supplier quotations for raw materials, excipients, and packaging items.
  • Maintain and update the approved supplier database.
  • Track and follow up on order deliveries to ensure timely receipt of materials.
  • Coordinate with suppliers regarding shipment schedules, invoices, and payment follow-ups.

Vendor Management

  • Support vendor evaluation and performance monitoring.
  • Maintain strong working relationships with existing vendors and identify new potential suppliers.
  • Ensure suppliers comply with homeopathic/pharmaceutical regulatory and quality requirements.

Inventory & Documentation

  • Monitor inventory levels in coordination with the stores and production departments.
  • Maintain accurate records of purchases, pricing, and other important data in ERP or Excel systems.
  • Prepare procurement reports and assist in monthly or quarterly analysis.

Compliance & Quality

  • Ensure procurement activities comply with GMP (Good Manufacturing Practices) and company SOPs.
  • Assist in the documentation required for audits (internal/external, ISO, DRAP/FDA, etc.).

Coordination

  • Liaise with production, QA/QC, and finance departments to ensure smooth material flow.
  • Handle administrative tasks like supplier correspondence, filing, and procurement documentation.

Key Performance Indicators (KPIs)

 Accuracy of data entry in demand, invoicing, and supply records.

 Timely updating of tasks in Planner 365 and Microsoft Teams 365.

 Efficiency in maintaining complaint/feedback logs.

 Contribution to timely preparation of sales performance analysis.

 Reliability and responsiveness in supporting Sales Coordinator tasks.

Qualifications & Experience

  • Bachelor’s degree in supply chain management, Business Administration, Commerce, or Pharmacy.
  • Professional certification in procurement (e.g., CIPS, SCM, PMP) is an advantage.
  • 1–3 years of relevant experience in pharmaceutical, homeopathic, or FMCG sector preferred.

Job Type: Full-time

Pay: Rs40,000.00 - Rs50,000.00 per month
