Job Summary
We are seeking a dynamic and organized Assisted Living Office Administrator to lead the administrative operations of our organization. In this vital role, you will serve as the first point of contact for residents, families, staff, and visitors, ensuring smooth daily operations and fostering a welcoming environment. Your energetic approach and exceptional organizational skills will help coordinate activities, manage office functions, and support team members to deliver outstanding care and service. Duties

  • Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing excellent phone etiquette.
  • Oversee scheduling management for residents’ appointments, and community events to ensure efficient daily operations.
  • Coordinate vendor management by liaising with service providers, managing contracts, and ensuring timely deliveries of supplies and services.
  • Supervise administrative staff and support team members through training & development initiatives to enhance office productivity..
  • Maintain organized filing systems for resident records, medical documentation, and office correspondence while ensuring confidentiality.
  • Support medical office management by coordinating resident health appointments and maintaining compliance with healthcare regulations.
  • Perform clerical duties such as data entry, document preparation, and managing calendar management for leadership team members.

Requirements

  • Proven experience in office management or administrative roles within assisted living or healthcare settings.
  • Strong communication skills with the ability to interact effectively with residents, families, staff, and vendors.
  • Excellent organizational skills with keen attention to detail to handle multiple priorities seamlessly.
  • Familiarity with schedule management tools and multi-line phone systems to streamline daily operations.
  • Ability to manage administrative responsibilities with professionalism and warmth while maintaining excellent phone etiquette.

Pay: $14.00 - $16.00 per hour

Expected hours: 30.0 – 40.0 per week
