Job Overview
The Back Office Coordinator plays a critical role in supporting daily trading, processing, logistics, and financial operations for a fast-paced steel and nonferrous metals business. This position ensures smooth execution of purchases and sales, maintains accurate records, and coordinates with internal teams, suppliers, consumers, and logistics partners. The ideal candidate is detail-oriented, organized, and comfortable working in a dynamic industrial and trading environment.

Key Responsibilities

Trade Support & Documentation

  • Process and confirm purchase and sales orders for steel and nonferrous scrap, ingots, and processed materials.
  • Maintain accurate trade entries in internal systems, including weights, grades, pricing, and delivery terms.
  • Prepare, review, and manage all trade documentation: contracts, scale tickets, BOLs, certificates, inspection reports, and quality documentation.
  • Assist traders and operations with material specs, photos, compliance documents, and vendor/customer onboarding.

Logistics & Operations Coordination

  • Coordinate transportation for inbound and outbound shipments including trucks, rail, and containers.
  • Track shipments, monitor delivery status, and update internal records in real-time.
  • Communicate with yards, processing facilities, mills, and vendors to ensure accurate weights, proper handling, and timely dispatch.
  • Resolve discrepancies such as weight differences, quality claims, missing paperwork, or logistical delays.

Inventory & Yard Reconciliation

  • Support daily/weekly inventory tracking for multiple yards, warehouses, and processing locations.
  • Reconcile inbound and outbound tonnage with scale houses and processing teams.
  • Maintain up-to-date inventory reports for scrap grades, processed materials, and finished goods.

Financial & Administrative Support

  • Prepare invoices, enter vendor bills, and assist the accounting team with AP/AR workflows.
  • Reconcile payments with shipments and identify discrepancies in freight, processing fees, or material costs.
  • Support month-end and year-end close with accurate records and reconciliations.
  • Maintain supplier and customer files including W-9s, insurance certificates, contracts, and compliance forms.

Customer & Vendor Communication

  • Serve as a key point of contact for suppliers, customers, carriers, and yards related to documentation and scheduling.
  • Provide timely updates to trading, operations, and management teams.
  • Assist with onboarding new yards, brokers, processors, and mills.

Qualifications

  • Several years experience in metals trading, scrap processing, logistics, or related industrial sectors preferred.
  • Strong organizational and communication skills with the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office (Excel, Outlook), CRM systems, and logistics platforms.
  • Ability to interpret scale tickets, weights, invoices, and basic commercial terms.
  • High attention to detail and accuracy in data entry and documentation.
  • Ability to work in a fast-paced trading environment with changing priorities.

Additional Preferred Skills

  • Experience with commodity/trading systems.
  • Understanding of steel grades, scrap classifications (Rema specs), and nonferrous materials.
  • Knowledge of freight logistics including truck, rail, export, and customs documentation.
  • Basic accounting knowledge (AP/AR, invoicing, reconciliation).
