A Bachelor’s degree from an accredited college or university is preferred. Two (2) years of experience in construction
management; architectural, engineering, or facility management; facility condition assessment; or any combination is
required. Three (3) years of experience working in a project management services environment with an emphasis on Procore
and other Project Information Management Systems (PMIS) is required. Prior financial, budgetary, procurement, and
supervisory experience is preferred. Incumbent must be proficient in Microsoft Suite as well as other computerized
applications. Incumbent must possess high analytical skills and must have advanced proficiency in Google Workspace. A valid
Texas Driver’s License is required and must be in possession at all times when operating an Austin ISD vehicle. Travel inside of
the District to various school campuses or departments is required.

SKILL REQUIREMENTS:

This position requires knowledge of construction project processes. As this position may involve overlapping projects and
deadlines, incumbent must be able to manage time effectively and efficiently to coordinate work and collaborate with others.
Incumbent must be computer literate with proficiency in Microsoft Office software. Incumbent must demonstrate knowledge
of databases, Structured Query Language, and report writing software, with a preference for internet-based systems related
to project management and project accounting. Additionally, knowledge of applications such as Procore, eBuilder, Primavera
Unifier, AutoCAD, Revit, MS Power BI, Tableau, Primavera P6, MS Project, Smartsheets, and Google Sheets is preferred. This
position requires the ability to work with customers to discern their needs and effectively meet expectations. Incumbent
must be able to gather, assemble, correlate, and analyze facts to devise solutions to problems.

JOB PURPOSE AND RESPONSIBILITY:

Incumbent must be able to maintain a Project Management Information System and enhance as needed. Routine
responsibilities include day-to-day software operation support for internal staff and external business partners. This position is
responsible for writing reports and analyzing data as requested for program and project management use. All work is
performed in accordance with the policies of the Construction Management Department and Austin ISD.

ESSENTIAL FUNCTIONS:

  • Manage the maintenance of the Project Management Information System (PMIS) data and applications by

o developing, configuring, and updating PMIS system modules as needed.

o configuring PMIS module workflows and user interface forms.

o managing internal and external user accounts and user group access permissions.

o and managing user’s access to navigation menus based on user group roles.

  • Incumbent will investigate user issues and document the issue including error messages. If unable to resolve the issue,
Incumbent will submit service requests to the software vendor’s support team and work with them to resolve the
issue.
  • Supervise staff assisting in the District PMIS initiative and provide guidance and support.
  • Coordinate the development of, maintenance of, and assistance with all PMIS including, but not limited to system
reports, system data and applications, user and web interfaces, user instruction systems and manuals, and technology
systems.
  • Train internal staff and external business partner users in the use of the PMIS. Incumbent will facilitate training
sessions in person or using an online meeting application.
  • Implement PMIS initiatives, updates, and standard maintenance, including mass data entries to a module or
developing a new module in instances where the system doesn’t include one for the desired purpose.
  • Maintain facility condition documents, update facility management records.
  • Develop and maintain PMIS reports as needed, including, but not limited to Community Bond Oversight Committee
(CBOC) monthly meetings and semi-annual reports to the board.
  • Provide technical guidance and direction to users, both internal and external to Austin ISD and the Construction
Management Department (CMD), upon request.
  • Actively pursue professional growth and development to keep abreast of current trends.
  • Attend and participate in meetings with directors, project managers and other administrative personnel to address
issues as they relate to bond planning and coordination with other teams.
  • Perform special projects assigned by the appropriate supervisor of the department, including special reporting.
  • Effectively communicate with employees from a broad range of departments and management levels.
  • Identify potential improvements for the Construction Management department as a whole.
  • Maintain effective relationships with the leadership team and facilitate the resolution of problems presented within
PMIS.
  • Provide an exceptional customer experience for all AISD stakeholders with intentional and professional practices that
promote a culture of respect.


OTHER DUTIES AS ASSIGNED:

Perform other related duties as assigned; however, all employees are expected to comply with lawful directives in rare
situations driven by need where a team effort is required.

PERSONAL WORK RELATIONSHIPS:

This position reports directly to the appropriate supervisor of the department. Incumbent will have contact with faculty and
staff, co-workers, outside vendors, consultants, and the general public. The purpose of this contact is to give and receive
information (e.g., answer questions, solve problems, and discuss department programs.)
