Primary Duties and Responsibilities
- Administer group health, dental, vision, life, disability, retirement, wellness, and other employee benefit programs for union and non-union employees.
- Process benefit enrollments, changes, and terminations in HRIS and vendor systems.
- Maintain accurate employee records and ensure timely transmission of eligibility data to carriers.
- Coordinate benefit programs specific to collective bargaining agreements (CBAs) and ensure compliance with union contract terms.
- Provide support during open enrollment, new hire onboarding, and life event changes.
- Develop and deliver benefits education materials, FAQs, and training sessions.
- Ensure compliance with ERISA, ACA, HIPAA, COBRA, FMLA, and other federal and state regulations.
- Support audits, nondiscrimination testing, and required government filings (e.g., 5500, ACA reporting).
- Monitor union CBAs and update benefit practices in line with negotiated agreements.
- Maintain up-to-date knowledge of benefit trends, legislation, and compliance requirements.
- Partner with brokers, consultants, and third-party administrators to resolve issues and optimize plan performance.
- Monitor vendor service levels and escalate concerns as needed.
- Assist with annual plan renewals, RFPs, and contract reviews.
- Work closely with Payroll to ensure accurate deductions, contributions, and reconciliations.
- Support Finance with monthly reporting, budgeting, and accruals related to benefits.
- Identify opportunities to improve benefit processes, employee experience, and system efficiencies.

Preferred Education/Experience
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred; or equivalent combination of experience and education.
- 3+ years of benefits administration experience in a large, multi-state organization; union benefits experience strongly preferred.
- Knowledge of federal and state benefit regulations, including ACA, ERISA, COBRA, FMLA, HIPAA.
- Experience interpreting and administering union collective bargaining agreements related to benefits.
- Proficiency in HRIS and benefits administration platforms; strong Excel and reporting skills.
- Previous experience in a union environment a plus.

- Ability to identify discrepancies and resolve benefit/eligibility errors quickly.

- Ability to effectively communicate with a variety of individuals.
- Diplomacy in handling benefit issues with union representatives while upholding contract provisions.
- Work collaboratively with HR, Payroll, Finance, and external vendors.
- Ability to handle sensitive employee information discreetly.
- Manage multiple priorities, deadlines, and open enrollment cycles.
- Flexibility to handle changing regulations, benefit plan designs, or union contract terms.
- Skilled at resolving vendor service issues and advocating for employees.
- Proficient in Microsoft office suite (Outlook, Word and Excel).
- Excellent communication, customer service, and problem-solving abilities.
- Ability to manage confidential information with discretion.
