OPERATIONAL EXCELLENCE FOR HIGH-PERFORMANCE LUXURY RESIDENTIAL DESIGN STUDIO

Full-Time | Onsite | Studio Hours: 8 am – 5 pm PST

Supporting the Spectrum Interior Design Studio in Mountain View, CA

This is a fully in-person role. Hybrid or remote work is not available. You will be immersed in the daily rhythm of the studio, partnering closely with the Founder and team to orchestrate seamless operations, strategic initiatives, and team alignment.

The Role: Business Manager

Spectrum Interior Design is seeking an experienced and results-oriented Business Manager to act as the right hand to our Founder and Principal Designer. In this pivotal role, you are the steady, strategic conductor of the studio’s operations, ensuring that every process, workflow, and team interaction moves with clarity, purpose, and precision.

You bring seasoned expertise in business management, HR, financial oversight, and vendor management, paired with the grace and composure to lead a dynamic, high-performance studio. Your leadership fosters alignment, accountability, and momentum across all departments, creating the structure and rhythm that allows our creative teams to flourish.

As a trusted partner to the Founder, you anticipate needs, solve challenges proactively, and translate strategic priorities into actionable outcomes. Your work ensures that the operational heartbeat of the studio reflects the same elegance, intentionality, and excellence that defines every Spectrum project. This full-time, onsite role is ideal for a professional who thrives in a polished, collaborative, and fast-paced environment, and who is energized by creating systems, clarity, and cohesion that empower both people and projects to shine.

Key Responsibilities

OPERATIONAL EXCELLENCE AND BUSINESS MANAGEMENT

● Ensure the studio operates efficiently and effectively, maintaining systems, processes, and workflows that support creativity and team alignment.

● Audit, refine, and document Standard Operating Procedures to build consistency and accountability across all departments.

● Develop dashboards, scorecards, and KPIs to track studio performance, helping the team meet deadlines and exceed expectations.

● Coordinate with IT and external vendors to maintain seamless technology, facilities, and operational support.

● Manage vendor contracts and relationships, ensuring quality, timeliness, and alignment with the firm’s values.

HUMAN RESOURCES AND TEAM SUPPORT

● Lead HR initiatives that reflect the studio’s values, including recruitment, onboarding, performance management, recognition, and employee development.

● Create processes and systems that promote a positive, high-performance studio culture.

● Partner with leadership to resolve conflicts, ensure alignment, and maintain team momentum.

● Maintain a focus on staff well-being, engagement, and professional growth, reinforcing a culture of respect and collaboration.

FINANCIAL AND STRATEGIC SUPPORT

● Partner with the CFO to manage budgets, monitor departmental expenses, and produce accurate financial reports.

● Support strategic initiatives to improve studio operations, including evaluating tools, vendors, and workflows.

● Assist the Founder with high-level executive initiatives, such as:

o Refining the use of HRIS or operational platforms

o Updating employee benefits, policies, and compliance measures

o Coordinating internal initiatives that strengthen operations and team alignment

MARKETING AND BRAND CONSISTENCY

● Support the Founder in marketing and business development initiatives that uphold the firm’s brand and aesthetic.

● Ensure consistency across proposals, presentations, and communications to reinforce the Spectrum Interior Design experience.

EXECUTIVE PARTNERSHIP

● Act as a proactive, trusted partner to the Founder, you translate vision into actionable priorities and measurable outcomes.

● Anticipate leadership needs, managing resources and operational priorities with calm, mature professionalism.

● Maintain a presence that reflects the studio’s values, inspiring confidence among staff, vendors, and clients.

Additional responsibilities and special projects may be assigned to support the evolving needs of the firm.

Qualifications

● 5+ years of experience in operations, business management, or studio leadership within creative, design, or professional services environments.

● Proven ability to lead teams with clarity, fostering accountability, collaboration, and a culture of positivity and professional growth.

● Strong financial acumen, including budgeting, forecasting, expense monitoring, and reporting, with a focus on operational efficiency and long-term studio success.

● HR expertise across the full employee lifecycle: recruitment, onboarding, development, performance management, benefits administration, and policy compliance.

● Exceptional organizational and project management skills; adept at creating systems, workflows, and processes that support creativity, alignment, and seamless operations.

● Skilled in leveraging office and project management tools (Asana, Monday.com, Microsoft Office, Outlook); experience with Studio Designer is a plus.

● Polished communication skills and executive presence; able to inspire confidence and clarity in interactions with clients, vendors, and team members alike.

● Experience managing vendor relationships, contracts, negotiations, and operational logistics with attention to quality, timeliness, and alignment with studio values.

● Strategic and proactive mindset; anticipates leadership needs, resolves challenges gracefully, and translates vision into actionable priorities.

● Detail-oriented and intentional, ensuring that every operational process reflects the same excellence, sophistication, and artistry as the firm’s design work.

● Calm, professional, and empowering presence; serves as a mentor and stabilizing force in a fast-paced, high-performing studio environment.

● Bachelor’s degree preferred.

● Valid California driver’s license and reliable transportation for vendor coordination and studio errands.

Job Type: Full-time

Pay: $70,000.00 - $100,000.00 per year
