Role Overview

We are looking for a highly organized and proactive Business Operations & Fulfillment Officer to support the smooth execution of CIPPO’s internal workflows, service delivery processes, and operational systems.

You will be a core pillar in ensuring that every operational step, from receiving service requests to final activation, is seamless, accurate, and aligned with CIPPO’s quality standards.


Through these functions, you will support our teams, strengthen our service systems, and maintain the operational backbone that allows CIPPO to deliver impact at scale.


Key Responsibilities


Operational Coordination & Fulfillment

  • Coordinate cross-functional workflows between CarePlanning, Finance, On-Field Teams, and Customer Experience
  • Oversee service activation processes and ensure all required steps are completed accurately
  • Support implementation of operational checklists, SLAs, and service readiness protocols
  • Monitor workflow status and escalate operational gaps when needed

Systems, Data, & Documentation

  • Log and track payments, service requests, and operational updates
  • Maintain accurate data across portals, dashboards, and internal systems
  • Support the creation and onboarding of family and practitioner accounts
  • Ensure documentation is complete, organized, and compliant with internal standards

Customer & Practitioner Support

  • Coordinate with parents and practitioners for operational requirements
  • Support booking, scheduling, and fulfillment logistics across teams
  • Maintain a smooth experience throughout the family journey by ensuring operational clarity and follow-up


Qualifications

  • Strong organizational and administrative skills
  • High attention to detail and accuracy in data and documentation
  • Excellent communication and coordination abilities
  • Ability to multitask and work under time-sensitive workflows
  • Experience in business operations, administrative support, or fulfillment roles (preferred)
  • Comfort working with digital tools, portals, CRMs, and data systems
