Position Summary
The Case Manager is a multifaceted role responsible for handling all aspects of the assigned cases from intake to settlement, under attorney supervision. This includes case file administration, client and medical provider coordination, insurance negotiation, and litigation preparation. The ideal Case Manager has exceptional organizational skills, empathy, and a strong understanding of personal injury law practices, medical record handling, and insurance processes.
Core Responsibilities and Duties
Administrative Support
- Open and set up new personal injury case files using the firm’s case management software (e.g., Neos).
- Draft and send Letters of Representation (LORs) to insurance carriers, medical providers, and other parties.
- Organize client documents including intake forms, authorizations, and incident reports.
- Obtain police/animal control reports, pay invoices, and verify billing balances.
- Respond to provider emails, approve treatment, and confirm medical appointment details.
- Maintain accurate and timely records in both digital and physical formats.
Client Support
- Serve as the main contact for clients, offering updates, answering questions, and explaining next steps.
- Conduct intake updates, gather key documents (e.g., health insurance cards, witness info), and provide legal process overviews.
- Make courtesy check-ins via phone or text every 2–3 weeks.
- Provide emotional support and empathetic communication to injury victims and families.
Client Medical Management
- Schedule medical appointments, therapy, diagnostics (e.g., MRI), and specialist visits.
- Request and track medical records and billing from all providers, ensuring liens are accounted for.
- Review medical records for treatment gaps and diagnostic results; advise attorney on MRI findings and additional treatment needs.
Attorney Support
- Provide case status updates to attorneys, including medical progression, coverage, and claim issues.
- Prepare demand letters, including exhibits, summaries, and medical timelines.
- Flag urgent matters such as missed treatment, claim denials, or coverage issues.
Legal Research & Case Development
· Gather liability evidence such as street footage, police records, and witness statements.
· Use DMV databases, court websites, and public record tools to verify policyholders, other claimants, and coverage.
· Save research as PDFs and update case files.
Insurance & Adjuster Coordination
- Track and update claim numbers, policy limits, and adjuster contacts.
- Submit MedPay, policy limit requests, and CMS forms.
- Communicate updates to insurers and request confirmation of limits or coverage.
- Facilitate the exchange of information in support of the Attorney's negotiations with the Insurance company and adjusters.
Team & Provider Support
- Assist other team members with tasks as needed to meet critical deadlines.
Other
- Attend and coordinate office marketing events.
- Brainstorm creative business development ideas and research new outreach opportunities.
- Meet with marketing vendors and support community engagement.
- Cover for team members on leave and assist with general phone duties.
- Support office functions during issues like internet outages, facility problems, etc.
- Assist clients with vehicle repairs, rental cars, total loss claims, and diminished value negotiations.
- Submit required documentation (police reports, estimates, photos) to insurers.
- Follow up with insurance adjusters to schedule inspections and expedite claim resolutions.
- Other reasonable duties as determined by the Managing Attorney and assigned.
Qualifications
Education
- High school diploma or equivalent required.
- Associate or Bachelor’s degree in Legal Studies, Paralegal Studies, or a related field strongly preferred.
Licenses & Certifications
- Paralegal Certificate preferred.
- Notary Public a plus.
- Valid driver’s license (for occasional errands or visits).
Experience
- Minimum 1–2 years in a personal injury law firm, insurance claims department, or medical billing office.
- Familiarity with personal injury processes, insurance law, and medical terminology.
- Experience with legal case management software (e.g., Neos).

- Highly organized, detail-oriented, and capable of managing multiple active cases.
- Excellent written and verbal communication skills.
- High degree of professionalism, confidentiality, and empathy.
- Comfortable working independently and in a collaborative legal team.
- Fluent in Spanish or another language (preferred but not required).
Physical Demands
- Prolonged periods at a desk using a computer and phone.
- Frequent use of hands and fingers for typing, filing, and document handling.
- Occasionally lift up to 20 pounds (case files, office supplies).
- Visual acuity for reviewing documents and digital files.
Work Environment
- Standard office environment; hybrid scheduling may be available.
- Fast-paced, deadline-driven caseload with routine client interactions.
- May require occasional travel to provider offices or local agencies.
