Client for Kafaat is looking for CEO Office Manager:
Job Purpose:
To manage the CEO’s office with a high level of efficiency and professionalism, ensuring smooth day-to-day operations and providing executive support in administrative, organizational, and operational tasks. The role also includes handling personal matters directly related to the CEO’s daily commitments while maintaining the highest levels of confidentiality.
Responsibilities:
• Manage and coordinate the CEO’s calendar, meetings, and appointments.
• Prepare, review, and proofread reports, presentations, and documents before submission to the CEO.
• Prepare periodic reports (weekly, monthly, and quarterly) covering project status, KPIs, and task follow-ups.
• Track the implementation of decisions issued by the CEO’s office and ensure timely follow-up with relevant departments.
• Handle incoming and outgoing correspondence and prioritize communications.
• Manage official communications with partners, investors, and government entities.
• Fully organize Board of Directors and Executive Committee meetings, including writing detailed meeting minutes, distributing them to relevant parties, and following up on action items.
• Represent the CEO’s office and coordinate with department heads to ensure seamless workflow.
• Conduct research, gather information, and prepare executive briefs or decision summaries as required.
• Monitor major projects and initiatives, providing periodic progress updates and highlighting risks or challenges.
• Follow up on contracts, agreements, and project documents in coordination with the relevant departments.
• Support the CEO in tracking project performance, milestone achievements, and meetings with consultants and developers.
• Oversee the organization of site visits, including preparing pre-visit briefs and post-visit reports.
• Manage and coordinate certain personal matters related to the CEO’s schedule, including reservations and private appointments when needed.
• Liaise with relevant entities to complete personal tasks that require close follow-up or alignment with the CEO’s official agenda.
• Maintain absolute confidentiality of all personal and professional information.
• Prepare and submit periodic performance reports to management with recommendations based on findings.
• Perform any other tasks assigned by the direct manager within the scope of responsibility.
Skills & Qualifications
Qualifications:
• Bachelor’s degree in business administration, Management, or a related field.
• Excellent verbal and written communication skills in both Arabic and English.
• Professional certifications such as CAP, PMP, or equivalent are preferred.
• Previous experience in the real estate developm ent sector is an advantage.
Experience:
• 5–8 years of experience in executive office management or senior administrative support roles.
Skills:
• Strong time-management skills and the ability to work under pressure and handle multiple priorities.
• Advanced proficiency in Microsoft Office applications.
• Strong organizational skills and the ability to prioritize effectively.
• Analytical mindset with flexibility in handling challenges.
• Strong ability to draft meeting minutes and prepare executive-level reports.
