Job Summary
The Clerical Data Entry team member supports the maintenance shop by accurately entering, updating, and maintaining records related to work orders, inventory, equipment repairs, and maintenance schedules. This role ensures smooth shop operations by providing timely data, organized documentation, and strong administrative support.
Essential Duties and Responsibilities could include:
Enter and update maintenance work orders, equipment logs, service records, and inspection reports into the company’s maintenance system
Review incoming work orders for accuracy, completeness, and proper coding
Track job progress and close out completed work orders
Maintain accurate inventory records for parts, tools, and materials; assist with generating low-stock or reorder reports
File, scan, or organize documentation including invoices, repair receipts, manuals, and compliance paperwork
Assist with scheduling preventive maintenance
Communicate with technicians, supervisors, and vendors to gather or clarify needed information
Generate routine reports (daily, weekly, monthly) on shop activity, labor hours, equipment downtime, and other metrics
Perform general clerical duties such as answering phones, responding to emails, and supporting administrative tasks
Ensure all data is entered in a timely, accurate, and organized manner
Requirements
High school diploma or equivalent
1–2 years clerical, administrative, or data entry experience (maintenance or industrial environment preferred)
Strong data entry skills with high accuracy
Familiarity with maintenance software or ERP systems is a plus
Proficient in Microsoft Office (Excel, Word, Outlook)
Strong attention to detail and organizational skills
Ability to work in a fast-paced environment and handle multiple tasks.
Good communication and teamwork skills
