Job Description
Job Summary:
- Responsible for managing all administrative, operational, business and financial functions and implementing Board policies.
- Responsible for advancing the interests of the Clinic, as expressed in its Vision and Mission Statements.
- Responsible for effective representation of the Clinic within the community that it serves
Responsibilities:
- Ensures that an effective operating system for hiring, promoting, rewarding, disciplining, and terminating employees in accordance with established policies and procedures is in place.
- Ensures that all policies and procedures are in accord with UAE laws.
- Is responsible for the effective operation of the Clinic Staff.
Business Planning:
- Provides leadership and operational assistance, and management of all staff.
- Manages all administrative, support services and outsourced contracts within the clinic.
- Ensures patient access to care and satisfaction is monitored on continuous basis.
- Maintains high clinic room occupancy to promote the continuity of patient care and optimum revenue generation.
- Regularly monitor and achieve projected EBIDTA through the implementation of necessary measures to drive business growth and optimize costs,
- Monitors disallowances and work in close relation with the doctors to ensure they are aware of the business requirements and practice within ethical means.
- Monitors daily reports including sales report, which are analyzed and reconciled.
- Conducts annual budgeting exercise for manpower, capital and patient volume-revenue
- Strategizes service delivery and purchase of equipment for optimal utilization and revenue generation.
- Evaluates outsourced services against contractual KPIs for strict compliance.
- Ensures quality accreditation standards are met and maintained.
- Maintains an effective working relationship with all Head of Departments, Physicians, and Clinic employees.
- Ensures that an effective operating system for the productive performance of all personnel through appropriate forms of employee professional development, the maintenance of written descriptions of all positions and the effective application of an employee appraisal system is in place.
- Ensures the presence and equitable application of personnel policies and procedures.
- Demonstrates the importance of continuing professional development by engaging in formal and informal means of continuing professional education.
Organization:
- Assesses, periodically, Clinic activities, organizational structure and staffing partners.
- Implements appropriate change, or where required, recommends such change for Board approval.
- Ensure that highest quality of services is provided as per Clinic policies, local regulations and international best practices
- Responsible for developing and maintaining effective local and regional networks and affiliations
Planning:
- Responsible for formulating and presenting for annual management approval, work plans and budget recommendations, including assisting the Finance department in its annual review of the capital budget.
- Responsible for the maintenance and updating of short- and long-term strategic plans aimed at achieving the mission and goals of the Clinic.
Administration:
- Responsible for the day-to-day administrative operations of the Clinic, the delegation of duties and the establishment of formal means of accountability.
- Ensures the effective delivery of high quality patient care.
- Ensures the operation of appropriate project and business development activities in accordance with Clinic policies.
- Responsible for the financial integrity of the operation of the Clinic.
- Ensures that all contract issues are managed efficiently and effectively in accordance with Board policies.
- Ensures the effective operation of a quality improvement process for the Clinic, including the periodic assessment of patient satisfaction.
- Ensures that all financial transactions are conducted in accordance with pertinent standards and legal requirements.
- Ensures that an annual audit is conducted and appropriate actions are taken in accordance with the findings.
- Ensures the maintenance and timely updating of operational procedures manuals.
- Ensures that effective communication is maintained with all departments.
- Ensures that the Clinic staff are adequately staffed and supported.
- Responsible for keeping the Clinic and staff abreast of legislation, regulations or any other actions which might have an important effect of the Clinic operations and for making recommendations for appropriate action.
- Ensures that safety of all employees, patients, physicians, guests, visitors and others is adequately addressed and protected.
- Participate in Clinic quality program and be member of quality committees if chosen.
Public Relations:
- Ensures that public relations programs are conducted effectively.
- Responsible for the effective representation of the Clinic at appropriate public, civic and other organizational activities and meetings.
- Acts as the representative of the Management in all matters, except in cases where the Board has specifically authorized some other designee.
- Plays a leadership role in coordinating health care and wellness services in the Clinic service area.
DECISION-MAKING AUTHORITY
- Work is carried out within general policies, principles and goals, and is subject to direction only for guidance on policy issues.
