Job Purpose:

The Commodity Trading Sales Administrator is responsible for supporting the daily operations of the trading department by managing client communication, CRM updates, shipment coordination, and documentation related to material movement. The role ensures smooth coordination between clients, production facilities, logistics partners, and the accounts department while maintaining accurate reporting for management review.

Key Responsibilities:

1. Sales Administration & Client Coordination

Manage all client communication through email, phone, and product portals.

Prepare, issue, and follow up on quotations and sales confirmations.

Maintain and update CRM records with accurate client and deal information.

Coordinate with clients for NOCs, shipment instructions, and loading schedules.

Ensure timely response to client inquiries and portal messages.

2. Documentation & Reporting

Prepare daily and weekly material “In & Out” reports from the weighbridge.

Maintain organized records of dispatches, receipts, and shipment documents.

Generate internal sales and movement tables for management review.

Support the accounts team by tracking payments, pending invoices, and receipts.

3. Operations & Logistics Coordination

Coordinate with production and yard teams for material readiness and loading plans.

Obtain freight rates from shipping companies and transporters.

Schedule and confirm shipments in coordination with shippers and logistics agents.

Follow up on shipping documentation (BL, delivery notes, invoices, etc.).

4. CRM & Portal Management

Regularly update product listings, rates, and stock availability on client portals.

Ensure all client communication and deal status are logged in the CRM system.

Monitor and respond to inquiries through online trading platforms.

Qualifications & Skills:

Bachelor’s degree in Business Administration, Logistics, or a related field.

Minimum 5 years UAE experience in waste management, recycling, or commodity trading industry.

Strong understanding of trading documentation, shipping coordination, and weighbridge operations.

Excellent written and verbal communication skills in English (Arabic/Hindi an advantage).

Proficient in MS Office (Excel, Word, Outlook) and CRM systems.

Strong organizational skills with attention to detail and follow-up discipline.

Ability to multitask under tight deadlines and manage client relations professionally.
