Description
The Contract Operations Specialist will support a team of internal and field marketing staff. This contract role will primarily handle operations for the Immunology therapeutic area. Under the guidance of the Director of Immunology Marketing Operations, the Contract Operations Specialist will be responsible for various daily, weekly, and ad hoc tasks, including, but not limited to:

Advisory Boards – work with project owners to prepare, submit, and provide support.

Other Fee for Service Support – work with project owners to prepare, submit, and provide support for all fee-for-service activities (HCP Consulting, Sponsorships, etc.)

Contracting/Procurement – initiate, update, and navigate internal project management systems to ensure agreements are compliantly executed, scopes of work align with budget parameters, and ensure that invoicing is processed promptly.

Speaker Bureau support functions – assist the operations associate director with speaker bureau operations, including but not limited to distribution and tracking of speaker agreements, coordinate updates to ensure current materials are posted in a timely manner, and help update and post management reports.

Coordinate onboarding of new marketing team members – meet with and provide orientations to new marketers on various processes to ensure that they have familiarity with expectations of how to initiate and execute submissions as required successfully.
Key Responsibilities:

Interact with vendors used by Marketing Operations to provide information from our database and/or work with them to collect information from their assigned projects.

Initiate, populate, and follow up on new Totality, ARIBA/eMarketPlace, eContracting, and ICD transactions needed to maintain ongoing marketing projects.

Liaison with cross-functional partners, such as Health Care Compliance, Finance, Contracting, Legal and Regulatory departments as needed.

Serve as Subject Matter Expert for assigned database pools, including the current list of programs, speaker utilization, Ad Board status reports, and Purchase Order transactions.

Maintain dashboard and performance metrics

Provide regular updates/reports to senior management

Actively participate and contribute to team meetings
Education:
-
A minimum of a Bachelor's Degree is preferred.
Experience and Skills:
Required:

A minimum of 3 years of relevant experience
-
Demonstrated ability to work cross-functionally

A positive, customer-focused, and collaborative approach to problem-solving

The ability to work independently and with urgency

Excellent verbal and written communication skills, including formal presentation skills

Ability to prioritize competing priorities

This position may require up to 10% domestic and/or international travel
Preferred:
-
Proficient knowledge of Microsoft Office (Word, PowerPoint, Outlook) with advanced Excel skills (i.e. Pivot Tables, Formulas, VLOOKUP functions)

Prior experience with Ariba/eMarketPlace, eContracting, ARAVO, and Totality systems

Working knowledge of Health Care Compliance
