The Contracts & Procurement Specialist will support contract preparation, procurement administration, and invoicing operations across Nabat. This role ensures timely execution of PR/PO processes, accurate documentation, proper contract coordination with internal stakeholders and suppliers, and structured tracking/reporting across all commercial and operational activities.
The position requires strong organizational skills, attention to detail, and the ability to collaborate closely with finance, legal, project teams, and external vendors. This is a key enabling role to ensure smooth operational workflows, compliance, and high-quality documentation.
Key Responsibilities

Contract, Agreement & Coordination

Prepare, review, and coordinate contracts, agreements, and NDAs for clients, suppliers, and service providers based on internal templates.

Ensure contract completeness (scope, terms, signatures, supporting documents) and alignment with company standards and policies.

Liaise with the Legal department for T&Cs review and alignment (covering both client and supplier agreements, as well as internal requirements).

Track contract status, renewals, and required amendments; follow up with stakeholders to ensure timely execution.

Maintain organized and up-to-date records of all contracts, SOWs, NDAs, agreements, and related documentation.

Procurement Administration (PR/PO Execution)

Create and process Purchase Requisitions (PRs) and coordinate timely issuance of Purchase Orders (POs).

Manage all quotation requirements from various suppliers and maintain documentation accordingly.

Lead the supplier registration process in the SAP system.

Liaise with vendors to confirm order status, delivery timelines, and document requirements.

Support the projects and finance teams in ensuring procurement activities follow internal approval workflows.

Maintain accurate procurement files including quotations, memos, and purchase documentation.

Invoicing & Payment Coordination

Manage incoming invoices, verify accuracy, and coordinate approvals with project and finance teams.

Prepare GRNs (Goods Receipt Notes) and ensure alignment of documentation for timely payment processing.

Manage invoice issuance and submission in the ERP system for all Government contracts.

Support Accounts Receivable by providing necessary documentation for client invoicing.

Track invoice status, aging, and payment follow-ups with internal teams and external parties.

Tracking, Reporting & Compliance

Maintain reporting dashboards for contracts, PR/PO status, invoicing cycles, and financial commitments.

Support periodic internal audits by providing required documentation and ensuring compliance—not only for procurement and finance but also across internal operational processes.

Ensure adherence to procurement, finance, and contractual policies.

Support ISO certification requirements and ensure compliance with relevant standards.

Highlight delays, risks, or discrepancies to the finance and operations teams.
Minimum Qualifications
-
Bachelor’s degree in Business Administration, Finance, Supply Chain, or a related field.

At least 5 years of experience in contracts administration, procurement operations, or finance administration.

Experience handling contracts, agreements, NDAs, and procurement documentation.

Familiarity with PR/PO cycles, invoicing workflows, and ERP systems.

Experience with SAP S4/HANA and ISO certification requirements.

Strong organizational skills and attention to detail.

Ability to manage multiple tasks and deadlines simultaneously.

Strong communication and stakeholder coordination skills.

Proficiency in Microsoft Excel, Word, and PowerPoint.
