We are looking to hire two Court Case Managers 1: one will focus on jury duties, including juror management, courtroom coordination, and related administrative tasks, while the other will handle customer service and small claims duties, providing public assistance, processing filings, and managing small claims cases from initiation to completion.

Jury

The position is responsible for all duties of a Jury Clerk, including maintaining updated records on trial and grand jurors, qualifying, deferring, and excusing prospective jurors, checking in jurors, explaining procedures, directing them to courtrooms, and providing judges, in-court staff, and attorneys with necessary paperwork. Additional tasks include preparing jury attendance slips for employers, compiling statistics for judges and court staff, managing the recorded jury message as needed, and performing heavy phone and data-entry work. The incumbent also serves as a backup to the Bookkeeper Clerk by preparing daily receipts, verifying end-of-day reports, reconciling discrepancies, completing deposit slips, and preparing deposits for pickup. This role processes and issues all writs of execution—such as garnishments, writs for the Permanent Fund Office, debtor notices, and orders to appear—and handles all pleadings associated with post-judgment collections. It includes scheduling hearings, sending notices, ensuring accurate cost and interest calculations on post-judgment transactions, and assisting the public and coworkers in person and by phone regarding execution procedures and the movement of bail or restitution funds. Additionally, the incumbent acts as a civil case manager by docketing and dispersing orders in the case management system, reviewing judges’ orders for required actions, scheduling hearings, maintaining case files, processing weekly tickle reports, handling judgments and decrees, closing cases in the system, and working closely with judges and their staff to process files, hearings, orders, and rescheduling as needed, with significant data entry throughout all duties.

Customer Service and Small Claims

The position requires performing customer service duties quickly and efficiently by greeting the public and providing general information regarding minor offenses, civil matters, domestic violence, small claims, appeals, criminal cases, probate, vital statistics, and jury duty. Responsibilities include assisting the public with file requests, accepting new cases for filing, receiving pleadings and supplemental documents, distributing forms, making certified copies of court documents, and performing index searches. The role also involves receiving and receipting payments for traffic fines, criminal bail, fines and restitution, filing fees, and other court-related fees, as well as recalling warrants when necessary. The employee responds to inquiries from both the general and professional public, handles matters not requiring legal advice, or refers individuals to the appropriate department. Additional duties include administering oaths, notarizing documents, accepting and clocking in pleadings, issuing summonses and subpoenas, and processing marriage license applications and issuing licenses. In the area of Small Claims data entry, the position processes cases from initiation to completion, including issuing summonses and subpoenas, setting trial dates, notifying parties, routing motions to judicial officers, calculating costs, interest, and attorney fees on judgments, preparing documents for signature, and performing heavy data entry throughout the process.
