Job Description – CRM Data Entry Specialist

Reports To: Corporate Strategist

Pay Range: $36,000

Overview

Rotolo Consultants, Inc. (RCI) is seeking a full-time CRM Data Entry Specialist to support the company’s ongoing initiatives to expand and maintain its national client database. This role will focus exclusively on ensuring the accuracy, completeness, and organization of RCI’s CRM system (QuickBase) by processing large volumes of contact, company, and property data sourced from multiple markets.

The CRM Data Entry Specialist will play a critical role in supporting RCI’s long-term business development strategy by creating a reliable foundation of information for our regional teams. While the position is primarily data-focused, there may be occasional opportunities to assist with pre-bid meetings or related administrative tasks.

Key Responsibilities

CRM Data Entry & Maintenance

  • Input and manage contact, company, and property data within RCI’s QuickBase CRM system.
  • Maintain high-volume data entry, with steady progress toward database completion goals established by the Strategy team.
  • Verify and cross-check company and contact details for accuracy and completeness.
  • Standardize naming conventions, market identifiers, and property categories to align with RCI’s CRM data standards.
  • Conduct periodic reviews to eliminate duplicates and correct data inconsistencies.
  • Support ongoing data imports and batch uploads from paid directories, member associations, and internal BD sources.
  • Generate weekly data entry performance reports for the Strategy team.
  • Maintain confidentiality and data integrity across all information sources.
  • Support ongoing initiatives by researching property contacts to assist Business Development outreach and improve program efficiency.

Occasional Support Duties

  • Assist with administrative preparation for pre-bid meetings or site visits when requested.
  • Provide data or contact lists to Business Development teams to support outreach initiatives.
  • Perform additional database or document management tasks as assigned by the Corporate Strategist.
  • Collaborate cross-functionally with IT, Estimating, and Business Development to maintain alignment and accuracy across RCI’s CRM program.

Qualifications

  • 1–3 years of professional experience in data entry, administration, or CRM management (construction, landscaping, or related industries preferred).
  • Demonstrated ability to manage high-volume data processing with accuracy and efficiency.
  • Familiarity with CRM platforms (QuickBase experience preferred).
  • Strong attention to detail, organizational discipline, and self-motivation.
  • Proficient in Microsoft Excel and Office Suite.
  • Ability to adapt to repetitive workflows while maintaining focus and precision.
  • Strong communication skills and a positive, team-oriented attitude.

Performance Expectations

  • Maintain consistent input pace to achieve goals established by the Strategy team.
  • Ensure all data entered and verified meets RCI’s quality and accuracy standards.
  • Submit weekly progress reports and data quality updates.
  • Demonstrate consistency, reliability, and accountability in meeting deadlines.
  • Support cross-department collaboration by maintaining transparent and accurate data flow.

  • Schedule: Monday–Friday, 8am-5pm
