SUPERVISED POSITIONS: 0 REPORTS TO: Information Management Supervisor

POSITION SUMMARY: This is a position within the Information Management Department of the Court of Common Pleas of Allegheny County, Family Division, Juvenile Section. The Data Entry Clerk’s responsibilities include greeting and assisting the public and Juvenile Court staff, processing police reports, Children, Youth and Family referrals, Shuman Admissions and data entry into Court Database. This individual must possess good public relations skills, good interpersonal skills and work as part of a team. Assignments may involve some initiative and independent judgment; incumbents receive daily oral instructions.

EDUCATION/EXPERIENCE QUALIFICATIONS: The incumbent must possess the educational level of a high school degree or its equivalent and six months experience in an office or court setting; or any equivalent experience or training which provides the required knowledge, skills and abilities.

SPECIAL QUALIFICATIONS: The incumbent must have the ability to follow general clerical and office procedures and practices.

· possess excellent organizational and interpersonal skills, accurate typing skills, and the ability to work with minimal supervision.

· Must be able to work effectively with the public and staff.

· This individual is expected to perform position responsibilities within six months of assumption of duties.

· Computer, typewriter, copier, facsimile, telephone system, shredder.

· Must be able to work in confidential office conditions.

· Must be able to sit, reach, bend, stoop, stand, and perform repetitive motions with wrists, hands, and fingers.

· Must be able to perform daily writing, typing and computer input assignments, open/close files, operate office machines.

· Must be able to use phone system, able to read reports and computer screen.

· Requires manual dexterity and range of hearing/vision sufficient to perform job duties.

· Must be able to read computer screen.

· Must be able to clearly communicate with public/coworkers.

· Must be able to stand, open files and operate office machines, must be able to write, type and use phone system.

KNOWLEDGE OF EQUIPMENT: This position requires fundamental skills of computer equipment, in addition must have basic knowledge of copier, typewriter, telephone, facsimile, and scanner.

PHYSICAL DEMANDS/WORKING CONDITIONS: General office conditions. Must be able to sit, reach, bend, stoop and stand, open/close files and lift up to twenty (20) pounds. Manual dexterity and range of hearing/vision sufficient to operate standard office machines. This position requires the incumbent to perform multiple priorities/tasks. Must be able to deal with stress associated with fast-paced environment, make judgment decisions and adapt to changing work situations.

LICENSE REQUIREMENTS: OCYF Child Abuse History Clearance, FBI Clearance, Pennsylvania State Police Clearance.

STATUS: Full time with benefits

ESSENTIAL DUTIES AND RESPONSIBILITIES:

· Answering, screening and routing calls to appropriate parties;

· Providing information or forwarding inquiries and requests to appropriate staff;

· Processing case closings, record checks, police reports and referrals, PO assignments and Court dispositions;

· Researching criminal records as required;

· Updating files and statistics on the computer; following the established procedures for manually filing, retrieving and purging files;

· Processing incoming mail, and preparing outgoing mail;

· Operating office equipment such as the computer, copier, facsimile, telephone;

· Registering the public as they arrive for scheduled hearings;

· Checking police referrals for accuracy in crimes code number, sections and gradings;

· Researching prior arrests;

· Acting as liaison with police to obtain accurate information on juvenile arrests;

· Enter critical data into JCMS database on a daily basis from various sources;

· Organize and prepare files for storage, which includes database entry and hardcopy file storage

· Completing additional assignments in a timely and accurate manner:

· Assisting/substituting in other areas as needed.

· Enter critical data into JCMS database daily, which is used as a central depository for all Juvenile documentation

· Researching criminal records as required

· Processing police referrals

Job Type: Full-time
