Position Overview

The Dispatch and Service Incharge will be responsible for managing all dispatch operations, logistics, and customer service coordination. The role ensures timely and accurate delivery of machines and efficient handling of customer complaints, installations, and after-sales services across India.

Key Responsibilities

Dispatch Operations

  • Plan, coordinate, and execute daily dispatch schedules.
  • Supervise packaging, labeling, loading, and transport documentation.
  • Coordinate with production and stores teams to ensure material readiness.
  • Maintain dispatch records, invoices, and transport documentation.
  • Liaise with transporters to ensure safe and cost-effective deliveries.

Service & After-Sales

  • Appoint and schedule service engineers for customer complaints and site visits.
  • Manage and organize all requirements related to customer needs during service or installation.
  • Maintain detailed records of customer complaints, service engineer schedules, and service status.
  • Track and manage service engineer expenses and travel plans.
  • Coordinate installation, commissioning, and maintenance activities at client sites.
  • Maintain records of spare parts, warranty claims, and AMC schedules.
  • Ensure customer satisfaction through prompt communication, issue resolution, and feedback collection.
  • Act as a bridge between customers, technical, and R&D teams for service-related issues.

Administration & Reporting

  • Maintain stock registers for dispatched and returned goods.
  • Prepare daily and weekly dispatch and service performance reports.
  • Support internal audits and compliance related to logistics and service.
  • Coordinate warranty and service documentation with relevant departments.

Qualifications & Experience

  • Diploma/B.Tech in Mechanical or Electrical Engineering preferred.
  • 3–7 years of experience in dispatch, logistics, or service coordination (preferably in machinery manufacturing).
  • Knowledge of packing standards, transport documentation, and ERP/inventory systems.
  • Excellent communication and customer-handling skills.
  • Strong problem-solving attitude and leadership in managing field teams.
