Job Description
The Document Controller is a vital role within an organization, responsible for managing and controlling all documentation related to a project or department. The individual in this position will establish and maintain a comprehensive document management system to ensure that records are accessible, accurate, secure, and comply with regulatory standards. This role requires exceptional organizational skills, attention to detail, and the ability to understand complex documentation structures. The Document Controller will collaborate with all departments to collect and archive documentation, facilitate the retrieval of records, and provide training on document management systems to staff as needed. The successful candidate will serve as the principal point of contact for all document-related inquiries and will play a critical role in maintaining efficient and organized business operations.
Responsibilities

Establish and maintain an effective document management system for the organization.

Ensure all documentation complies with internal policies and regulatory requirements.

Coordinate with various departments to collect and archive required documents and records.

Review and update all documentation to ensure accuracy and completeness.

Facilitate easy access and retrieval of documents for authorized personnel within the organization.

Regularly train staff on the use of document management systems and procedures.

Oversee document security to protect sensitive and confidential information from unauthorized access.

Track and manage the lifecycle of documents, ensuring timely disposal or archiving.

Investigate and resolve any discrepancies or issues related to document management.

Act as the primary point of contact for internal and external document-related inquiries.

Implement continuous improvements to enhance document management processes and efficiency.

Generate reports and metrics to assess the usage and effectiveness of document management systems.
Requirements

Bachelor's degree in Information Management, Business Administration, or a related field.

Proven experience as a Document Controller or in a similar documentation role.

Strong understanding of document control procedures and quality management systems.

Proficiency in document management software and Microsoft Office Suite, including advanced Excel skills.

Excellent organizational skills with a keen attention to detail and accuracy.

Strong communication skills to effectively collaborate with various departments and stakeholders.
