The Document Controller will be responsible for managing, organizing, and maintaining all project-related documents, drawings, correspondence, and records in an accurate and efficient manner. The role ensures timely retrieval and distribution of documents to internal teams, consultants, contractors, and clients.
Key Responsibilities:
- Maintain and manage all documents and records related to interior fit-out projects, including drawings, submittals, RFIs, material approvals, contracts, and correspondence.
- Ensure proper document numbering, stamping, formatting, and filing as per company standards.
- Distribute and track documents between internal departments, consultants, contractors, and clients.
- Maintain up-to-date logs of drawings, revisions, and approvals using document control systems.
- Follow up on document approvals and ensure timely responses from relevant stakeholders.
- Prepare transmittals, submittals, and document summaries when required.
- Support project teams with document retrieval, printing, scanning, and archiving.
- Ensure all documents are stored securely and backed up regularly.
- Assist in preparing handover documentation and project close-out files.
- Maintain confidentiality and data integrity at all times.
Qualifications & Requirements:
- Minimum 3 years of experience as a Document Controller, preferably in interior fit-out industry.
- Proficient in MS Office (Word, Excel, Outlook) and document control software.
- Knowledge of AutoCAD drawing referencing is an added advantage.
- Strong organizational and record-keeping skills.
- Excellent communication and coordination abilities.
- Ability to work under pressure and meet tight deadlines.
- Attention to detail and accuracy is essential.
