The Design and Construction Sector is a forward-thinking and innovative department on a mission to revolutionize the construction industry. With a strong focus on execution speed, cost-efficiency, and environmental sustainability, we are actively seeking an exceptional document controller to manage all aspects of document management with respect to the construction of factories that the Sector is undertaking for a confidential project. The candidate will be responsible for the timely, accurate and efficient preparation and management of both hard and electronic documents and administration of the databases that house them, on behalf of the NEOM Design & Construction Sector and the project delivery team.

The role will require a high level of interpersonal skills, diplomacy and a culturally appropriate attitude that perfectly embodies the NEOM mindset of diversity.

REQUIREMENTS SUMMARY

The Document Controller responsibilities will include, but not be limited to:

  • The candidate will be the focal point for all document management pertaining to the construction of multiple factories that the Sector in delivering with respect to a confidential project. This role includes but is not limited to:
  • Developing a document control process and systems to endure regulatory, legal, and security compliance (in accordance with NEOM’s existing polices and procedures)
  • Update and disseminate documents to personnel and other stakeholders as required
  • Issues, receives/collects, tracks, stores, monitors, scan and upload documents in accordance with existing NEOM Document Management Procedures and new procedures developed
  • Maintain the NEOM Document Management Procedures and ensure that they are always up to date and in accordance with NEOM Standards and Compliance department requirements
  • Document and coordinates the flow of documents between the department and NEOM Sectors/Departments and other organization
  • Notify team members of updated document versions and how to access them
  • Track submissions and responses and issue weekly Ball-in-Court reports
  • Ensure data integrity and adherence to the NEOM Document Numbering and Revision Procedures by all entities uploading documents into the NEOM Projects Document Management database (Aconex)
  • Provide references for users by writing and maintaining user documentation, providing help desk support, training users
  • Prepare reports by collecting, analyzing and visualizing data and trends
  • File documents in physical and digital records as required.
  • Updating and maintaining document management systems and physical records.
  • Maintaining the security of confidential documents.
  • Ensures that NEOM’s document control Procedures are utilized (e.g., document numbering systems, document routing procedures etc.)
  • Completes all necessary training and familiarization with NEOM’s electronic document management systems such as Aconex and SharePoint and others
  • Performs other duties commensurate with functional level and responsibilities.
  • Contributes as a team player who is deadline driven and works well with others.
  • Prepare Excel workbook and Power point presentations and status updates as necessary.


EXPERIENCE & QUALIFICATIONS

Knowledge, Skills and Experience

  • Strong knowledge in the use of electronic document management systems such as Aconex is mandatory.
  • Proactive and highly organized individual
  • Strong interpersonal skills
  • Computer literate and fully versed in the use of Microsoft Strong knowledge of MS Office. Word, Excel (etc.), and Adobe Acrobat Professional and other well known applications.
  • Basic analytical experience
  • Data organization and storage knowledge
  • Ten years of relevant experience, including five years performing similar functions preferably at large-scale construction programs and projects.
  • Knowledge of SAP / Ariba systems.
  • Fluent in English (Spoken & Written)


  • Bachelors degree or higher in Computer Science, Business Administration, Engineering or similar field
