Role Overview
We're seeking an E-Commerce & Operations Coordinator who will manage our entire digital ecosystem. You'll handle our online store, oversee the complete order-to-fulfillment cycle, coordinate vendor orders and inventory, and execute multi-channel marketing strategies to drive growth in the medical equipment sector.
Key ResponsibilitiesE-Commerce & Order Management
- Maintain and optimize our WIX-based website, including product listings, descriptions, specifications, and pricing
- Manage large-scale product catalog with hundreds of SKUs, ensuring data accuracy and completeness
- Coordinate with external vendors (photographers, content creators) to develop product images and descriptions
- Process and manage all incoming orders from retail, B2B, and wholesale customers
- Coordinate order scheduling with our network of 100+ suppliers and vendors
- Update inventory levels in real-time as orders are placed and vendor shipments arrive
- Track order fulfillment status and manage customer communications throughout the order lifecycle
- Implement and maintain product categorization and search functionality
- Ensure all product certifications and compliance documentation are current and accessible
Inventory & Vendor Coordination
- Monitor stock levels daily and identify reorder points for fast-moving products
- Place orders with vendors based on inventory needs, customer demand, and lead times
- Maintain updated inventory records across all channels (WIX store, internal systems, vendor platforms)
- Coordinate with suppliers to track incoming shipments and update expected arrival dates
- Reconcile physical inventory with system records
- Manage relationships with vendor representatives for pricing, availability, and delivery schedules
Sales & Business Development
- Process quote requests from medical facilities and provide accurate pricing and availability
- Proactively reach out to hospitals, surgical centers, and clinics for bulk orders
- Develop relationships with procurement managers and surgical department heads
- Create and manage accounts for repeat institutional buyers
- Coordinate with logistics for large shipment scheduling and tracking
Marketing & Lead Generation
- List and optimize products across multiple platforms (medical marketplaces, Google Shopping, LinkedIn)
- Execute email marketing campaigns to medical professionals and procurement teams
- Manage social media presence on LinkedIn, creating content for healthcare professionals
- Implement SEO strategies to improve organic search rankings
- Create product launch campaigns for new surgical equipment
- Generate and nurture leads through content marketing and outreach
Analytics & Reporting
- Monitor website traffic, conversion rates, and sales metrics
- Track inventory turnover and identify fast-moving products
- Analyze customer buying patterns and recommend inventory adjustments
- Report on marketing ROI and campaign performance
- Gather and respond to customer feedback for continuous improvement
Required Qualifications
- 2+ years experience in e-commerce operations, preferably in B2B or medical/healthcare
- Experience with WIX e-commerce platform or willingness to quickly learn new platforms
- Proven experience managing large product catalogs (200+ SKUs) with detailed specifications and attributes
- Proven experience managing order processing, vendor coordination, and inventory management
- Ability to coordinate with external vendors (photographers, designers, writers) to create product content at scale
- Strong organizational skills to juggle multiple vendor orders, customer orders, and inventory updates simultaneously
- Experience with e-commerce platforms (WIX, Shopify, BigCommerce, WooCommerce, or similar)
- Familiarity with B2B sales cycles and institutional purchasing processes
- Strong understanding of digital marketing channels (email, SEO, paid ads, LinkedIn)
- Excellent written communication skills for customer correspondence and marketing content
- Detail-oriented with ability to maintain accurate inventory records
- Comfortable working independently in a fast-paced environment
- Proficiency with spreadsheets and inventory tracking systems
Preferred Qualifications
- Experience in medical device or healthcare industry
- Knowledge of medical terminology and surgical procedures
- Familiarity with FDA regulations and medical device compliance
- Experience with CRM systems and marketing automation tools
- Background in managing large-scale B2B accounts and vendor relationships
- Google Ads and LinkedIn Ads certification
- Experience managing inventory for products with varying lead times and supplier reliability
