The Employee Resource Coordinator plays a critical role in supporting the Employee Resource Specialist and Human Resources team by ensuring smooth, accurate, and timely execution of key HR operations. This role is responsible for assisting with onboarding, compliance tracking, document management, reporting, employee support requests, and day-to-day workflow coordination across all communities under management.
As our organization continues to grow across multiple states, this position will have the opportunity to grow into a full-time role with increased ownership of processes and systems.
RESPONSIBILITIES include but are not limited to the following:
Respond to HR support tickets or inquiries, escalating as needed.
Maintain clear, friendly, and professional communication across all departments.
Help ensure consistency across communities by monitoring adherence to HR workflows.
Support Paycom new hire workflow setup and data entry.
Assist with background check submissions, I-9 verification coordination, and other screening documentation.
Verify completeness of new hire documentation prior to final processing.
Track and follow up on missing documentation or incomplete tasks.
Maintain accurate and up-to-date personnel files, digital records, and HR databases.
Monitor compliance documents (licenses, certifications, etc.) and send reminders about outstanding or overdue items.
Assist with audits of employee files for state regulatory compliance.
Perform data entry, updates, and corrections in Paycom and internal systems.
Support maintenance of HR dashboards, trackers, and reports.
Assist with recurring uploads or data validation related to assignments, training modules, or pay changes.
Prepare templated communications for system updates, reminders, or initiatives.
Assist with rollout of new processes, SOPs, or HR initiatives.
Participate in recurring team check-ins, taking notes and tracking follow-up tasks.
Support the development of training materials, quick guides, or how-to resources for community teams.
Provide general administrative support to the HR team and Employee Resource Specialist.
Ensure confidentiality and data security when handling employee records and sensitive information.
Supervisory Responsibility: None
Education & Experience:
1–2 years of administrative, HR, or operations support experience preferred.
Experience with onboarding or HRIS systems is a plus (Paycom experience ideal but not required).
Ability to learn basic HR processes, documentation requirements, and compliance expectations.
Bachelor’s degree preferred but not required.
Knowledge, Skills & Abilities:
Ability to follow established HR policies and procedures.
Strong attention to detail and commitment to data accuracy.
Proficiency in Microsoft Office Suite and comfort learning new systems.
Strong communication and customer service skills.
Ability to maintain confidentiality and handle sensitive information professionally.
Organized, reliable, and able to prioritize multiple tasks in a fast-paced environment.
Willingness to learn regulatory requirements relevant to onboarding and employee files.
