Role Purpose
The Events Coordinator will secure high impact speaking and exhibitor opportunities and ensure flawless execution at conferences and trade shows so the client has a consistent, professional physical presence. The role will handle research, bookings, negotiations, materials, staff coordination and post event follow up to maximize visibility, generate qualified leads, and maximize ROI.
Responsibilities
- Speaker & Exhibitor Bookings
- Research and apply for speaking slots appropriate for the client.
- Secure exhibitor tables and booth space at targeted events.
- Manage applications, contracts, deadlines, and confirmations.
- Negotiation & Relationship Management
- Negotiate fees, booth placement, sponsorship packages and contract terms.
- Build and maintain relationships with event hosts, organizers, and industry contacts.
- Manage vendor and organizer communications to ensure favorable terms and smooth logistics.
- Event Logistics & Materials Management
- Coordinate production, shipping, and on time delivery of event materials.
- Assign and brief staff for event roles; create staff schedules and run of show documents.
- Oversee on site setup, booth appearance, and required technical or AV arrangements.
- Event Research & Calendar Management
- Continuously research and aggregate targeted conferences and trade shows across various industries.
- Maintain an up to date event calendar to ensure coverage and speaking opportunities.
- Prioritize events by audience fit, cost/benefit, and speaking potential.
- Onsite & Post Event Execution
- Provide hands on support before, during and after events; troubleshoot issues and act as main contact.
- Prepare post event reports summarizing outcomes, leads, and follow up actions.
- Coordinate lead handoff and follow up plans with the client and internal team.
Skills, Knowledge and Expertise - Requirements
- Minimum 1 year experience as an Event Coordinator or Booking Agent.
- Demonstrable experience booking both speaking engagements and exhibitor booths.
- Proven negotiation experience with event organizers and vendors.
- Experience coordinating event materials, staff, shipping and on site logistics.
- Comfortable using Asana, Google Workspace, Slack and Canva.
- WFH Set Up
- Computer with at least 8 GB RAM, Intel i5 or AMD Ryzen 5 and higher.
- Internet speed of at least 40 Mbps.
- Headset with noise cancellation and a webcam.
- Backup computer and internet connection.
- Quiet, dedicated workspace at home.
