Job Summary:
We are seeking a detail-oriented and dependable Executive Assistant to provide high-level administrative support to the President. The role requires proactive management of day-to-day priorities, communication, scheduling, and cross-departmental coordination. The Executive Assistant must be able to stay one step ahead, manage sensitive information with professionalism, and ensure smooth executive operations.
Job Responsibilities:
• Manage the President’s calendar, appointments, meetings, and travel arrangements.
• Serve as the primary point of contact between the President and internal/external stakeholders.
• Draft and prepare emails, letters, reports, and presentations.
• Organize meeting materials, take minutes, and track follow-up actions.
• Maintain confidentiality of all sensitive and personal information.
• Assist in planning and coordinating executive meetings, company events, and official visits.
• Conduct research and gather information to support executive decision-making.
• Handle ad hoc administrative and operational tasks as required.
• Utilize productivity and collaboration platforms such as Microsoft Teams, Slack, Zoom, Google Workspace, and Monday.com.
• Work with ERP systems and other business software tools; leverage AI-driven tools to improve efficiency and streamline workflows.
• Must be flexible in managing varying work hours, including the ability to overlap with U.S. business hours as required.
Required Skills:
• Excellent communication and interpersonal skills.
• Strong organizational skills with exceptional attention to detail.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
• Ability to prioritize, multitask, and work independently in a fast-paced environment.
• High degree of professionalism, discretion, and confidentiality.
• Ability to effectively use collaboration tools, ERP systems, and AI-enhanced productivity solutions.
Experience:
• 6–10 years of experience supporting senior executives or leadership teams.
