Riphah International University seeks a dedicated Executive Assistant to provide comprehensive support to its senior executives. The ideal candidate manages complex calendars, coordinates meetings, and organizes travel arrangements with accuracy and professionalism. This role requires exceptional organizational skills, confidentiality, and the ability to handle multiple tasks efficiently. The Executive Assistant acts as a vital liaison, ensuring smooth communication between executives and various stakeholders while supporting the planning and execution of strategic activities and events. The position demands proficiency with Microsoft Office Suite, travel management software, and calendar scheduling tools to facilitate daily operations. The individual must demonstrate strong problem-solving abilities, maintain strict confidentiality, and support office operations related to executive workflows. This role does not include managing a team but involves collaborating closely with different departments to fulfill executive needs and ensure timely completion of assignments.
Responsibilities

Manage executive calendars, schedule meetings, and coordinate appointments using tools such as Google Calendar and calendar scheduling software.

Coordinate and arrange detailed travel plans, including itineraries and logistics, leveraging travel management software to support official visits and engagements.

Prepare professional reports, presentations, meeting minutes, and official correspondence to ensure clear and accurate communication.

Handle confidential information with the utmost discretion, maintaining organized and secure filing systems both digitally and physically.

Serve as the primary point of contact between the executive and internal or external stakeholders, facilitating effective communication and follow-ups.

Track tasks, deadlines, and ongoing projects to ensure assignments and requests are completed promptly and accurately.

Assist in planning and coordinating events such as board meetings, strategic sessions, and other official functions.

Conduct basic research, compile data, and summarize findings to aid executives in informed decision-making processes.

Manage everyday office operations related to the executives activities, including document management, communication flow, and follow-up tasks.

Support budgeting, expense reporting, and procurement processes for executive office supplies and services.
