Position Summary

The Executive Secretary provides high-level administrative support to senior executives, ensuring smooth operation of daily activities, effective communication, and efficient management of executive schedules and priorities. This role requires excellent organizational skills, strong attention to detail, and the ability to handle confidential information with discretion.


Key Responsibilities

• Manage and maintain executive calendars, including scheduling meetings, appointments, and travel arrangements.

• Prepare, review, and edit correspondence, reports, presentations, and other confidential documents.

• Serve as the primary point of contact between the executive and internal/external stakeholders.

• Organize and coordinate meetings, conferences, and events, including preparing agendas, minutes, and follow-up actions.

• Handle incoming calls, emails, and inquiries, prioritizing communications and responding on behalf of the executive when appropriate.

• Maintain organized filing systems (digital and physical) for easy retrieval of documents.

• Conduct research and compile data to support executive decision-making.

• Track deadlines, projects, and pending tasks to ensure timely completion.

• Support financial tasks such as expense reports, invoice processing, and budget tracking.

• Uphold confidentiality and professional integrity in all interactions and document handling.


Qualifications and Skills

• Bachelor’s degree in Business Administration, Office Management, or a related field (preferred).

• Proven experience +7 Years as an Executive Secretary, Executive Assistant, or similar role

• Strong written and verbal communication skills.

• Excellent organizational, time-management, and multitasking abilities.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.

• Ability to work independently and handle pressure in a fast-paced environment.

• High level of professionalism, discretion, and confidentiality.

• Strong interpersonal skills and ability to interact with stakeholders at all levels.
