Job Description / Responsibilities
- Provide executive-level secretarial and administrative support to partners, lawyers, and senior management.
- Manage calendars, appointments, meetings, and correspondence effectively.
- Draft, prepare, and format legal documents, contracts, and official letters with accuracy and professionalism.
- Handle document management, including filing, scanning, and maintaining digital and physical legal records.
- Manage client communications, including emails, phone calls, and meeting coordination with utmost confidentiality.
- Organize and maintain office records, reports, and filing systems (physical and digital).
- Coordinate office operations and administrative activities to ensure efficiency across departments.
- Oversee IT-related tasks, including installation, configuration, and maintenance of computer systems, software, and hardware.
- Manage cloud-based storage systems (e.g., Microsoft 365, Google Workspace) for secure document and data management.
- Ensure data backup, cybersecurity, and confidentiality of all firm-related and client information.
- Liaise with IT vendors and service providers for system maintenance and technical support.
- Support management in preparing presentations, reports, and documentation for client meetings and internal use.
Educational Requirements
- Bachelor of Law (LLB)
- Master of Law (LLM)
- Additional training or certification in Office Administration, IT, or Business Management will be an advantage.
Experience Requirements
- At least 4 years
- Applicants should have experience in the following business area(s): Law Firm
Additional Requirements
- Strong command of English (written and verbal); Arabic proficiency is an advantage.
- Excellent document drafting, formatting, and typing skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and cloud platforms (Microsoft 365, Google Workspace, or similar).
- Basic understanding of networking, data security, and backup systems.
- Exceptional organizational, time management, and multitasking abilities.
- High level of confidentiality, professionalism, and attention to detail when handling legal matters.
- Ability to work independently and manage multiple priorities efficiently.
