Job Title: GeM Tender Executive

Job Type: Full-Time ( In Location)

Job Summary

We are looking for a GEM–IREPS Executive to manage end-to-end government e-procurement activities on GeM (Government e-Marketplace) and IREPS (Indian Railways E-Procurement System). The role involves tender searching, bid submission, compliance documentation, coordination with internal teams, and post-bid follow-ups to ensure timely participation and successful order execution.

Key Responsibilities1) Tender / Bid Management (GeM & IREPS)

  • Search and shortlist relevant tenders/bids on GeM, IREPS (and other govt portals if required).
  • Study tender documents, eligibility and technical/commercial requirements.
  • Prepare bid strategy in consultation with management (pricing inputs, make/brand compliance, timelines).
  • Online bid submission (technical + commercial), including all required uploads and declarations.
  • Handle clarifications, corrigendum tracking, extensions, and bid re-submissions if needed.

2) Documentation & Compliance

  • Prepare and maintain documents such as:
  • Company registrations, GST, PAN, MSME/Udyam, NSIC (if any)
  • OEM authorization / dealership certificates
  • Catalog/technical datasheets, drawings, compliance sheets
  • Past performance documents, completion certificates
  • EMD/Bid Security, Bank Guarantees (where applicable)
  • Ensure all documents are correct, updated, signed, stamped, and uploaded properly.

3) Coordination & Communication

  • Coordinate with Sales, Accounts, Stores, Dispatch, Vendors/OEMs for:
  • Quotations, technical specs, make approvals, delivery commitments
  • Certifications, test reports, inspection requirements (if any)
  • Communicate with tendering authorities for queries and updates (as permitted).

4) Order Processing & Post-Bid Activities

  • Track bid results, L1/L2 status, RA (Reverse Auction) participation (if applicable).
  • After order award:
  • Assist in PO acceptance, documentation, and delivery schedule planning.
  • Support invoice preparation requirements, e-way bills, and portal compliance.
  • Coordinate for inspections, installation, commissioning, or service needs if applicable.

5) Reporting & Record Keeping

  • Maintain a bid tracker: tender name/ID, dates, status, EMD, RA, results.
  • Daily/weekly reporting to management on opportunities and bid status.
  • Maintain digital filing system for audits and repeated tender participation.

Required Skills & Competencies

  • Hands-on knowledge of GeM portal operations (bid participation, catalog/product listing basics, order compliance).
  • Familiarity with IREPS tendering process and e-procurement workflows.
  • Strong understanding of tender terms: technical specs, compliance, eligibility, EMD, BG, delivery terms, payment terms.
  • Good Excel skills for trackers and pricing sheets.
  • Good communication, follow-up skills, and attention to detail.
  • Ability to work under deadlines and manage multiple bids simultaneously.

Qualifications

  • Graduate (any stream).
  • 1–4 years experience in govt tendering / e-procurement preferred.

Tools / Portals (Preferred)

  • GeM, IREPS, CPPP, E-Procurement portals (state/PSU) – optional
  • MS Excel, Word, Email, PDF tools

  • Number of relevant tenders identified and submitted
  • Bid success rate / order conversion
  • Compliance accuracy (zero rejection due to documentation errors)
  • Timely submission and effective RA participation
  • Post-order execution support and closure timelines
