SUMMARY: The team is looking for a detail-oriented and proactive HR Assistant to support our Human Resources department in day-to-day administrative tasks. The ideal candidate will assist with recruitment processes, employee record management, onboarding, employee and safety support, and general HR compliance. This role requires strong organizational skills, confidentiality, and a passion for supporting a positive workplace culture. The HR Assistant will play a key role in ensuring smooth HR operations and providing excellent support to both employees and HR leadership.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Assists HR under the direction of the Human Resource Manager.
  • Performs diversified duties in the processing and record keeping of employee benefits and maintains all hourly personnel files.
  • Examines production employee files to answer inquiries and provides information to authorized persons.
  • Process personnel changes in the HRIS, such as promotions, salary adjustments, transfers, terminations, and other changes timely and with accuracy.
  • Assists with I-9 process, including processing I-9's, reverifications, and destruction. Keeps accurate records and complies with all company, local, and federal requirements.
  • Assist with onboarding process including preparing and assigning equipment and data entry.
  • Assist with attendance policy compliance including preparing related documentation.
  • Provides administrative assistance to the Safety Manager.
  • Provides assistance to the Recruiter including interviewing, extending offers, and performing drug screens.
  • Supports payroll by reviewing employee timecards weekly and adjusting timecards as needed.
  • Responds to VOE's and payroll verifications.
  • Tracks employee milestones and requests and prepares anniversary gifts.
  • Gathers data and processes weekly plant reports.
  • Assists in resolving employee complaints and escalates complex issues to HR Manager.
  • Maintains complete confidentiality regarding personnel files, employee data and all Human Resources information.
  • Serves visitors by greeting, welcoming, and directing them appropriately. Assures all visitor paperwork is complete.
  • Performs customer service functions by giving information to callers, answering employee questions on policies, benefits, etc.
  • Performs other duties as assigned.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High school graduate or equivalent with one-year certificate from college or technical school preferred; or six months to one-year related experience of a clerical nature and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS: Ability to read and write reports and business correspondence. Ability to effectively present information and respond to questions from groups of managers, employees, and candidates. Bilingual preferred (English/Spanish).

MATHEMATICAL SKILLS: Ability to apply mathematical concepts to practical situations.

REASONING ABILITY: Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES: Ability to operate Word, Excel, PowerPoint, and HRIS with training. Ability to operate basic office equipment. Ability to establish and maintain effective working relationships with associates.

PHYSICAL DEMANDS: While performing the duties of this Job, the employee is regularly required to move about the facility, regularly required to sit; talk, hear and use hands to handle or feel. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk and stoop, kneel and crouch. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

WORK ENVIRONMENT: The noise level in the work environment is usually quiet but may vary by the area in which the work is being performed.

NORMAL WORK SCHEDULE: The hours and days of work are established by departmental needs and at the discretion of management. Must be available for some nights and weekends.
