HR Payroll & Operations Advisor, Denmark Are You The New HR Payroll & Operations Colleague We're Looking For in Denmark? We are looking for an HR Payroll & Operations Advisor, Denmark, to join our international Human Resources team. You will be based in our Copenhagen head office, ensuring quality payroll servicing, and employment law administration.

About the team Our international HR department provides services for 18 countries spanning Europe, the Americas, and Asia Pacific. With a growing number of over 300 employees and new operations on the horizon, we are looking to strengthen and develop our HR department to support the company's continued growth.

Our HR team is working closely with all business and Finance areas, and operates as an internationally decentralized model, representing the diverse and global nature of our company. The role will involve remote work collaboration between team members, regular travel, and proactive communication across geographies.

Our Copenhagen office is home to around 120 employees, encompassing both group functions and local positions focused on the Danish market and local business operations.

About the position As our new HR Payroll & Operations Advisor, Denmark, you will play a key role in delivering effective and compliant payroll and employment law administration for Denmark and our head office operations. You will support the current company growth strategy and Group company culture.

The key focus areas for this position are critical to the fast-growing environment in which we operate. As such, you will be responsible for several areas, with examples of your responsibilities including:

Payroll Administration
  • Process end-to-end payroll for employees in the Nordic region, ensuring precise calculation of salaries, taxes, social security contributions, and benefits. This includes accurate and timely handling of pre- and post-payroll administration for wages and additional compensation elements (such as benefits and cash perks) to meet administrative needs and comply with relevant employment laws, tax regulations, and social security requirements.
  • Obtain a good understanding of international payroll matters as support to the team
  • Manage the relation & communication with external providers, such as payroll, legal, and tax
  • Maintain up-to-date records to ensure accurate compensation and legal statements
  • Prepare the necessary elements for accounting and cash payments
  • Collaborate with the Finance team to process reconciliation
  • Assist with the setting up of related processes and formalities for new legal entities and employees
  • Support the HR Reward team with formalities in local language related to employee benefits and special tax status applications, and tax returns for international payrolls
  • Draft and maintain all administrative employment documents in accordance with social legislation (e.g. employment contracts, addenda, transfers, and certificates
  • Maintain up-to-date personnel employment data and prepare regulatory reporting
  • Administration for:
      • Time & attendance
      • GDPR-related administration (e.g. consents, NDA's)
      • Disability and accident files - both workplace and private
      • Social security & immigration formalities
  • Support business managers from a technical employment and legal perspective when dealing with sensitive employee discussions related to performance management and terminations
Regulatory
  • Actively keep abreast of developments on regulatory matters (legal/tax/payroll) for Denmark and share the information with all stakeholders concerned
  • Assist with the update of social documentation, including working regulations, contract templates, personnel handbooks, and employment-related policies
Communication & reporting
  • Contribute to internal HR communications related to payroll and individual employee files (e.g. absenteeism, leave of absence, parental leaves, pay slips, etc.)
  • Prepare data for employment and payroll audits, and management reporting
  • Provide quality service advice and information to employees on social and salary matters
  • Train employees and managers in the use of specific software & tracking processes for time and attendance, holidays, and sick leave, as well as on social law applicable for the region in scope
Projects & HR team support
  • Contribute to HR projects such as payroll provider changes, HRIS, new payroll & employment set up, legal changes, leave administration, and more
  • Act as an active back up for your Nordics HR Operations colleague, whose scope covers Norway, Sweden, and Finland, and incidentally for other HR team members on general matters in the event of absence
This position will be based out of our Copenhagen office, covering our Danish operations, allowing for partial remote work and involving regular travel to other countries.

You will directly report to our Group Human Resources Director, with a dotted line to the local Country Manager.

This position requires the ability to manage multiple tasks simultaneously while maintaining an overall perspective, as well as a strong willingness to learn quickly and handle complex payroll calculations and data with accuracy. You will need to perform effectively under pressure, meet challenging deadlines, and manage demanding projects, all while demonstrating strong problem-solving skills. A keen orientation toward figures, and a commitment to data accuracy and quality work are needed, together with proactive follow through, reliability toward customers, and a readiness to act on commitments are essential.

Given the international scope of the role, dedication and flexibility in working hours are required. The complexity of our business and the need for fast response times call for persistence and initiative. As you will be accountable for payroll matters, your presence during payroll periods each month is critical to ensuring the smooth and timely delivery of results.

We hope you have:
  • Skills equivalent to a bachelor's degree, or 8-10 years relevant working experience specifically in payroll and employment law matters
  • In depth knowledge of social security, tax, and social legislation for Denmark
  • Familiarity with global mobility concepts, including expatriate taxation and cross border employment
  • Impeccable ability to deal with confidentiality, highest integrity, and ethical standards
  • Maturity and personal understanding to deal with people and compensation matters in a neutral and impartial way
  • Proficiency in relevant IT tools such as payroll systems, HRIS systems, and advanced Office 365
  • Previous experience with project management
  • Understanding of, or interest in, the insurance business, as well as other related HR domains such as employee benefits
  • Demonstration of keeping abreast with new regulatory changes and best practices in the field
  • Full written and oral proficiency in both English and Danish
  • A good understanding of Swedish and Norwegian for the ability to draft legal documentation in those languages. Finnish is a nice to have.
