Job Overview: Human Resources Assistant

The Human Resources Assistant at Careplus Healthcare Services plays a key role in supporting HR operations that ensure the recruitment, onboarding, and development of compassionate, qualified, and dependable staff.

In this role, you will assist with managing the employee lifecycle—from posting job openings and screening applicants to maintaining personnel files and ensuring regulatory compliance within a healthcare setting. You will also help oversee documentation and maintain accurate client-related records related to staffing and service delivery standards.

This position requires exceptional organizational skills, attention to detail, and the ability to communicate effectively in a fast-paced, compliance-heavy healthcare environment.

Key ResponsibilitiesRecruitment & Staffing Support

  • Post job openings across approved platforms and assist in developing effective recruitment strategies targeting Direct Support Professionals, caregivers, and administrative staff.
  • Review resumes, screen applicants, and coordinate interview scheduling with HR leadership.
  • Maintain communication with candidates to ensure a smooth, timely hiring process.

Onboarding & New Hire Coordination

  • Facilitate the onboarding process by preparing new hire packets, coordinating orientation sessions, and ensuring all state-mandated documents are accurately completed.
  • Track and verify required employee certifications (e.g., CPR, First Aid, Medication Administration).
  • Assist in scheduling initial and ongoing training in accordance with state regulations and Careplus policies.

Employee & Client Record Management

  • Maintain accurate and confidential employee files, including training records, performance documentation, background checks, and compliance-related forms.
  • Monitor certification and training expiration dates, sending reminders and tracking completion to maintain agency compliance.
  • Assist in managing client documentation related to staffing, service plans, and regulatory requirements.

Payroll & Attendance Support

  • Assist with payroll preparation by reviewing timesheets, validating hours worked, and ensuring accuracy before submission.
  • Track attendance, leave requests, schedule changes, and follow up on discrepancies.

Training & Development Coordination

  • Schedule and organize mandatory training sessions including HIPAA, vulnerable adult protection, emergency procedures, and person-centered care modules.
  • Maintain and update training logs to reflect completed and upcoming staff training sessions.
  • Support management in implementing new training initiatives and compliance updates.

Employee Relations & Support

  • Serve as a point of contact for staff inquiries regarding HR policies, scheduling, benefits, documentation requirements, and workplace concerns.
  • Provide timely, confidential support to employees and ensure proper communication with HR leadership.
  • Assist with organizing staff appreciation activities, recognition programs, and morale-building initiatives.

Compliance & Audit Preparation

  • Ensure that all employee documentation meets state and federal healthcare regulations, including Minnesota 245D licensing requirements and HIPAA privacy standards.
  • Assist during internal and external audits by preparing files, updating records, and verifying required documentation.
  • Help identify areas for process improvement to strengthen agency compliance, accuracy, and efficiency.

Experience and QualificationsEducation

  • A degree or diploma in Human Resources, Healthcare Administration, Business Administration, or a related field is preferred.

Experience

  • Previous experience in HR, healthcare administration, staffing, or records management is highly desirable.
  • Experience within home care, assisted living, group homes, or similar healthcare environments is an advantage.

Skills & Competencies

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Exceptional attention to detail and accuracy in documentation.
  • Understanding of healthcare regulations, patient confidentiality, and compliance requirements (HIPAA, 245D, etc.).
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and HR or scheduling software.
  • Strong written and verbal communication skills with the ability to build positive relationships.
  • Problem-solving ability and a proactive approach to supporting both employees and HR leadership.
