About the Role

We’re seeking a detail-oriented and compliance-minded HR Generalist to ensure every new hire has a smooth introduction to our organization. This role combines onboarding coordination, HR support, and compliance oversight — ensuring all documentation, processes, and employee records meet company standards and government regulations.

You’ll play a key part in shaping the employee experience while protecting the organization through accurate recordkeeping and policy adherence.

Key Responsibilities:

Onboarding & Employee Experience

  • Manage the entire new hire onboarding process — from offer acceptance to the completion of the first 90 days.
  • Prepare and distribute offer letters, onboarding packets, and employment agreements.
  • Coordinate orientation schedules and ensure equipment, credentials, and system access are ready before start dates.
  • Conduct new hire orientations covering company culture, policies, benefits, and workplace expectations.
  • Serve as the primary point of contact for new hires, ensuring a seamless and positive experience.
  • Collaborate with HR, Payroll, and IT to streamline the new hire setup process and resolve onboarding issues quickly.

Compliance & Documentation

  • Ensure all onboarding processes comply with federal, state, and local employment laws (e.g., I-9 verification, E-Verify, W-4, state-specific forms).
  • Maintain accurate and confidential employee records in accordance with company policy and data protection regulations (e.g., HIPAA, GDPR if applicable).
  • Monitor completion of required compliance trainings, certifications, and policy acknowledgments
  • Stay up to date with changes in employment legislation, ensuring internal policies and onboarding documentation reflect current requirements.
  • Support audits and internal reviews by maintaining organized and complete onboarding and personnel records.
  • Verify that background checks, employment eligibility, and credential verifications are properly completed and documented.
  • Partner with HR leadership to standardize and enhance compliance procedures across the employee lifecycle.

HR Operations & Process Improvement

  • Assist in updating onboarding materials, training documents, and compliance checklists.
  • Track onboarding metrics and recommend process improvements to enhance efficiency and employee satisfaction.
  • Support HR team members with employee data updates, policy communication, and other HR administrative functions.
  • Contribute to creating a compliant, consistent, and inclusive onboarding experience across all departments.

Qualifications:

  • 2–4 years of experience in HR, onboarding, or HR compliance.
  • Strong understanding of employment laws, labor regulations, and HR best practices.
  • Exceptional organizational and time management skills with high attention to detail.
  • Proficiency in HRIS and ATS platforms (e.g., Paycor, BambooHR, Paycom, etc.).
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Experience in a multi-state or regulated industry environment.
  • Background in supporting HR audits or compliance initiatives.
