Job Overview
We are seeking an experienced Human Resources & Payroll Manager to oversee all aspects of HR functions and payroll operations within our organization. This role requires a detail-oriented professional with strong expertise in payroll management, HRIS systems, and accounting software. The ideal candidate will ensure accurate processing of payroll, benefits administration, and compliance with applicable regulations while supporting HR initiatives that foster a positive workplace environment. Primary Responsibilities:

  • New Employee On-Boarding & Retention
  • New employee on-boarding and off-boarding communication and processes
  • Oversee Applicant Tracking & Performance review process & documentation
  • Manage and update the new employee on-boarding process, documents/checklists, employee handbook, and policies and procedures in the HR Paycom portal
  • Draft, proofread and distribute correspondence and all HR-related reports
  • Human Resources Safety & Training
  • Oversee, organize, implement and communicate staff training and safety courses, materials/resources and documents, personal protective equipment
  • Monitor and implement compliance with health, safety and security regulations
  • Manage all HIPAA and OSHA compliance resources and communication
  • Payroll Processing
  • Process bi-weekly payroll through the Paycom Payroll portal and submit timely
  • Communicate funds for each payroll to the CFO by noon every Wednesday before that week’s Friday payday to make the payroll bank transfer
  • Responsible for calculating with precise accuracy and entering all payroll deductions, employer contributions, wages (includes but not limited to regular wages, overtime, additional wages/bonuses, allowances, salary increases, other)
  • Maintain all payroll and compliance processes in the Paycom portal along with any and all updates
  • Responsible for all payroll communication with the Paycom Payroll Support Coordinator
  • Maintain and manage all payroll records and resource documents with integrity and guard all personal information
  • Responsible for registering, managing, and reporting multiple state income withholding and unemployment tax accounts
  • Benefits Management & Enrollment
  • Administer the Simple Plus IRA Retirement plan including submitting each payroll’s employee deductions and employer contributions through the American Funds portal, tracking and communicating all plan information/documents/resources to employees and plan representative, entering and updating all employee’s retirement payroll deductions and employer contributions through the Paycom Payroll portal
  • Maintain and manage health, dental, and vision insurance program and employee’s eligibility through the Paycom Payroll portal and through Anthem BCBS
  • Responsible for all communication, documentation, and employee tracking of our paid and non-paid time off policies and programs (PTO, Flex, Leave, Bereavement, etc), tool allowance policy, and employee review process
  • Administer & Manager the Employee Referral Program and YMCA program with employees and in the Paycom portal
  • Responsible for all HR and Payroll-related reporting in a timely manner
  • Maintaining organized filing system for all HR and Payroll Documents (digital and paper)
  • Workers’ Compensation
  • Provide support to employees with workers compensation claims including but not limited to:
  • Ensuring compliance with state and federal regulations
  • Communication with employees, insurance agents, medical providers, and legal representatives to facilitate the claims process
  • Process, manage, and file timely internal paperwork for each claim
  • Maintain up-to-date appropriate internal support documentation for claims
  • Provide training and education programs for employees on workers’ compensation policies and procedures
  • Complaints, Grievances, & Conflict Resolution
  • Provide support to employees by handling all complaints and grievances to ensure concerns are addressed
  • Investigate and resolve complaints in a timely, fair, and efficient manner
  • Document and log all complaints escalating complex unresolved cases to upper management. In the event a complaint is escalated with unresolved resolutions, the case must go to the assigned Conflict Resolution team and a thorough investigation takes place.
  • Facilitate proper and professional communication ensuring all parties involved in the process are informed and engaged

Experience

  • Proven experience managing payroll using systems like Workday, ADP, Paycom, Paychex, Kronos, UltiPro, PeopleSoft, or Ceridian.
  • Strong background in human resources functions including benefits administration and HRIS management.
  • Solid understanding of corporate accounting principles including general ledger accounting, account reconciliation, debits & credits, journal entries, and double entry bookkeeping.
  • Familiarity with financial concepts related to payroll processing, governmental reporting requirements, and tax compliance.
  • Experience working with various accounting software such as QuickBooks or similar platforms is preferred.
  • Demonstrated ability to analyze financial data accurately with excellent attention to detail.
  • Knowledge of non-profit accounting practices is a plus but not required.
  • Strong organizational skills with the ability to handle multiple tasks efficiently in a fast-paced environment. Job Type: Full-time

Pay: $63,000.00 - $72,000.00 per year
