Human Resources Supervisor
Grassi Client - VJ Technologies Inc.

Grassi's Client, VJ Technologies, is seeking an experienced hands-on Human Resources Generalist responsible for a full range of Human Resources, safety and compliance for about 60 employees, broken up into four (4) companies and located in over nine (9) different states. Responsibilities will include Benefit Administration, Recruitment, Onboarding, Timekeeping, Compliance, Safety, Recordkeeping, Training and Employee Relations.

Job Description:
  • Full responsibility for all HR recordkeeping to include maintenance of soft and hard versions of personnel folders, HRIS system, policy documents, and all related and required documentation for multiple organizations.
  • Share workload and supervise the Human Resources Administrator in the execution of all day-to-day HR activities.
  • Work with Management to fill all open positions via active recruitment and management of all associated documentation and 3rd parties.
  • Conduct new employee orientations to include briefing of employees on all benefits, Company Policies and Company safety guidelines.
  • Responsible for all activities and documentation associated with the processing of new hires, terminations, transfers or any other employment or status changes.
  • Oversee the time keeping system for these entities.
  • Ensure all benefit programs are properly administered, liaise with carriers when required, oversee implementation and processing of life insurance, short term disability, paid family leave and long-term disability claims.
  • Provide support to employees with claims or other benefit related matters, as required.
  • Working with HR Director and HR Administrator to manage annual open enrollment process to include updating HRIS system, overseeing online enrollment process, generating and distributing materials, authorizing changes to Payroll, and managing changes with carriers, as applicable.
  • Full responsibility for generation, maintenance, and oversight of Affirmative Action Plan (AAP).
  • Generate all regulatory filings such as AAP, EEO-1, VETS-100, 5500 forms, and OSHA logs.
  • Ensure compliance with all local, state and Federal employment and safety regulations
  • Assist in the administration and management of the annual Focal Point Review Program.
  • Oversee Employee Morale program for applicable team members.
  • Ensure Bohemia, NY and East Haven, CT locations are compliant with all workplace health & safety policies and regulations.
  • Manage the Learning Management System (LMS) for companies and staff under your purview.
  • Provide various compliance and soft skill training courses to staff on at least an annual basis.
  • Assist employees in obtaining proper Visas for international Company travel
  • Various non-HR-related compliance and administrative duties, as required.
  • Up to 10% travel expectation to include monthly visits (day trip) to sister facility in East Haven, CT and potential visits to other VJ locations (no more than once per quarter).

Essential Skills:
  • Bachelor's degree in Human Resources, Business, or related discipline.
  • Five (5) to seven (7) years of relevant HR experience in an industrial manufacturing or engineering environment. This person must have worked in manufacturing and/or with engineers.
  • Small company experience required
  • Knowledge of NY State and Federal employment laws and insurance regulations.
  • Familiarity with OSHA workplace regulations.
  • Prior experience working with an HRIS system.
  • Proficiency in MS Office Suite.
  • An effective communicator able to call upon well- established written and verbal skills to communicate with employees at all levels of the organization as well as vendors, regulatory agencies, and customers.
  • A detail oriented, mature, professional with established diplomacy skills.
  • A team player with strong interpersonal skills.
  • Comfortable managing emergencies in a calm, expedient, and professional manner.
  • A highly organized individual with strong analytical and problem-solving skills capable of multitasking in a demanding, dynamic environment.

Non-Essential Skills:
  • Knowledge of state employment laws other than NYS and/or prior experience supporting employees based in multiple states.
  • Prior experience developing an Affirmative Action Plan.
  • Familiarity with ADP Workforce Now (WFN) and/or Deltek Replicon Timekeeping & Attendance system, and/or TalentLMS.
  • Established training skills.
  • Prior experience working with MS Dynamics, AX or D365 ERP system.

Physical & Mental Demands:
  • Regularly required to sit, walk, bend and stand.
  • Will need to repeatedly use hands to finger, handle, feel and operate standard office equipment.
  • Specific vision abilities required include close vision, distance vision and the ability to adjust focus.
  • Expected to effectively communicate in person, on phone, and via email and other electronic devices on a continual and repetitive basis.
  • Capable of Domestic travel via car, train, ferry and/or plane.
  • Able to fulfill essential job function in a consistent state of alertness and safe manner.
