Position Overview

The Intake Coordinator serves as the first point of contact for potential clients and is integral to our client service and case development. This role manages the intake process from the initial inquiry through the decision to accept or reject a case, ensuring timely, accurate, and compassionate engagement with individuals seeking legal assistance in employment matters. The ideal candidate exercises sound judgment, maintains strict confidentiality, and thrives in a fast-paced, detail-oriented environment. This is a full-time position.

Key Responsibilities

  • Respond promptly and professionally to email and telephone inquiries from potential clients.
  • Conduct initial intakes by gathering and recording relevant facts, timelines, documents, and contact information from potential clients.
  • Compile, organize, and manage intake data, ensuring accurate entry, tracking, and maintenance in firm databases and case management systems.
  • Manage the intake pipeline from start to finish, including scheduling consultations, coordinating attorney review, following up with potential clients, and documenting outcomes.
  • Collaborate with attorneys and staff to ensure seamless handoff of matters accepted for representation.
  • Protect confidential information and adhere to legal ethics and firm policies at all times.

Qualifications

  • Strong verbal and written communication skills, with the ability to interact compassionately and professionally with individuals experiencing workplace issues.
  • Excellent organizational skills, accuracy, and attention to detail; proven ability to manage multiple inquiries and deadlines.
  • Proficiency with Microsoft Office.
  • Discretion and judgment in handling sensitive information; commitment to confidentiality and ethical standards.
  • Prior experience in customer facing legal, intake, client services, or related professional setting is preferred.
  • Familiarity with employment law concepts preferred; willingness to learn required.
