Intake/Dispatch Coordinator

About the Role

SERVPRO Team Bisig is looking for a highly organized and customer-focused Intake Coordinator / Dispatch Coordinator to join our team. This role is responsible for handling incoming calls, gathering accurate job information, dispatching crews, coordinating schedules, and ensuring a smooth communication flow between customers, insurance adjusters, technicians, and project managers.

The ideal candidate is calm under pressure, has a strong sense of urgency, communicates clearly, and understands the importance of providing excellent customer service—especially over the phone. This position plays a critical role in making sure new jobs are handled quickly, accurately, and professionally from the first call through dispatch.

Key Responsibilities

  • Answer and manage incoming calls from homeowners, property managers, insurance adjusters, agents, and referral partners.
  • Gather detailed and accurate information for new job leads, including loss details, customer contact information, property address, insurance information, and urgency of the situation.
  • Create new job files and enter information accurately into company systems.
  • Dispatch mitigation, contents, or reconstruction crews based on job needs, availability, and urgency.
  • Coordinate daily schedules for technicians, crews, and project managers.
  • Communicate with customers to provide updates, confirm appointments, and set expectations.
  • Work closely with project managers and field teams to ensure jobs are assigned and responded to promptly.
  • Monitor job status and follow up to ensure timely response and proper documentation.
  • Maintain clear, professional communication with insurance adjusters, homeowners, and internal team members.
  • Prioritize emergency calls and respond with a strong sense of urgency.
  • Assist with after-hours or emergency dispatch coordination as needed.
  • Keep internal teams informed of schedule changes, customer updates, and urgent job details.
  • Support office and administrative functions related to intake, dispatch, and job coordination.
  • Represent SERVPRO Team Bisig professionally and provide excellent customer service during stressful situations.

Qualifications

  • Prior experience in dispatch, intake coordination, customer service, call center, scheduling, restoration, construction, or a related field preferred.
  • Strong phone communication skills and a professional, calm demeanor.
  • Ability to handle multiple incoming calls and tasks at the same time.
  • Excellent organization and attention to detail.
  • Comfortable working in a fast-paced, high-pressure environment.
  • Strong sense of urgency and ability to prioritize emergency situations.
  • Ability to communicate effectively with homeowners, adjusters, technicians, and project managers.
  • Basic computer skills and ability to learn company software systems.
  • Reliable, humble, team-oriented, and willing to help wherever needed.
  • Restoration, mitigation, insurance, or construction industry experience is a plus, but not required.

Work Environment

This role operates in an office environment and requires regular phone and computer use. The Intake Coordinator / Dispatch Coordinator will work closely with field teams, project managers, and office staff to support daily operations and emergency response needs.
